Primary Function of Organizational Unit |
The Division of University Advancement serves as the engagement and fundraising division of East Carolina University's academic areas, working to generate financial and other forms of support that enhance the university's long- and short-term growth and welfare. Under the oversight of the Vice Chancellor for University Advancement, the division strategically identifies, engages, cultivates, solicits and stewards alumni, individuals, corporations and foundations to support ECU's mission. University Advancement is comprised of Alumni Relations, Annual Giving, Corporation and Foundation Relations, Major Giving, Planned Giving and Strategic Advancement Operations with the Vice Chancellor's office overseeing these units and their initiatives. Additionally, the division provides oversight and support for the
ECU Foundation and the
ECU Health Foundation (health sciences) as associated foundations.
This position reports to the Assistant Director of Advancement Services and is within the Strategic Advancement Operations reporting structure of University Advancement. Currently, University Advancement is implementing a new
CRM solution, Kindsight's Ascend. This position will be involved in data updates and data cleanup projects for University Advancement's conversion to the Ascend
CRM solution. |
Job Duties |
The purpose of this role is to support the division by accurately entering, updating, and maintain data across various systems, while also assisting with general administrative tasks. The Data Entry Associate plays a key part in ensuring efficient daily operations through strong attention to detail, excellent typing skills, and the ability to work independently in a dynamic, fast-paced environment.
30% Using previously extracted data, input new information and make timely updates to existing records across the division's propriety database, Agilon
ONE. Ensure all entries are complete, consistent and free of errors by cross-checking source documents (extracted data ex: Excel spreadsheet), verifying information, and following established data entry protocols.
30% Conduct regular reviews of data entries to identify and correct errors, inconsistencies, or missing information. Utilize validation tools and cross-system comparisons to verify the accuracy and completeness of records. Collaborate with relevant departments to resolve discrepancies and ensure compliance with internal data standards. Assist in preparing and formatting information in spreadsheets, ensuring accuracy and clarity for internal use. Maintain documentation of quality control procedures and assist in developing best practices for ongoing data management and integrity.
30% Attend data migration and
CRM implementation meetings (as needed) to stay informed on project timelines, data structure requirements and system updates. Exhibit a proactive attitude toward learning by quickly adapting to new software environments and features. Engage in self-paced, online training modules to build proficiency, and apply newly acquired knowledge to daily tasks. Support the broader team during the transition by sharing best practices, asking clarifying, questions and helping ensure the accuracy and completeness of transferred data.
10% Respond to incoming emails and phone calls promptly and professionally, directing inquiries as appropriate and maintaining clear communication channels. Perform general administrative duties such as document preparation, scheduling and supporting day-to-day office operations to ensure an efficient and organized work environment. |
Minimum Education/Experience |
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. |
License or Certification Required by Statute or Regulation |

Preferred Experience, Skills, Training/Education |
Proven experience in data entry, administrative support, or a similar role, along with strong typing skills-typically 50 words per minute or more-with a high level of accuracy. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook and Teams is essential, as is familiarity with database systems and general office software.Previous experience multitasking and meeting deadlines consistently. Problem-solving capabilities and proactive approach to tasks. |
