Position Summary
Winston-Salem State University ( WSSU) is seeking a dynamic and highly organized HR Operations Coordinator to join our Human Resources team. The HR Operations Coordinator will play a crucial role in supporting the efficient operation of the HR department by managing administrative processes, coordinating employee services, and ensuring compliance with university policies and procedures. This individual will work closely with the Chief Human Resources Officer ( CHRO) and the HR team, ensuring that strategic HR initiatives are executed smoothly and that day-to-day operations run effectively.

Key Responsibilities:

  • Lead new hire orientation and onboarding for new employees and include processing I-9s, E-verify, and education verification. Pre-Orientation Preparation, Conducting New Hire Orientation and ensure that new employees' email accounts, banner numbers and necessary software access are ready before their start date. Help new hires connect with their colleagues and integrate into the organizational culture through social activities, team meetings, and networking events.
  • Assisting with strategic HR initiatives such as Workforce Planning, Succession Planning, Critical Skills and Gap Analysis for WSSU. Collaborate with leadership to anticipate future staffing needs based on upcoming projects, expansions, retirements, or strategic shifts.
  • Coordinating HR Policy compliance to include development, enhancement, communicating updates, providing guidance and interpretation, maintaining accurate records of policy updates, training sessions, compliance tracking in the policy portal, and collaborating with the Office of Compliance and Risk to ensure that all HR policies align with university standards and governing documents.
  • Provide executive-level administrative support to the CHRO, including calendar management, meeting coordination, travel arrangements, and preparation of reports and presentations.
  • Serve as the first point of contact for visitors and employees, addressing general HR inquiries and providing accurate information. Coordinate logistics for new employee orientation and onboarding, training sessions, team meetings, employee service awards, university wellness events, and HR Department events.
  • Manage employee wellness initiatives by implementing and promoting programs that support physical, mental, and emotional well-being.
  • Route Personnel Action Forms, Data Entry, Oversee HR Ticketing System, and Department Inbox.
  • Oversee office technology, supplies, and equipment, ensuring that the HR office operates efficiently. Personnel records management to include creating and updating Employee Records, maintaining Retention Schedules, and educating HR staff and other relevant employees on confidentiality and the proper handling of sensitive personnel records.
  • Monitor HR metrics and assist in the development of dashboards and reports for each functional unit in HR, including Talent Management, Compensation, HRIS and Payroll. Development and implementation of Standard Operating Procedures (SOPs) to improve HR operations and workflow.
  • Oversee and execute all aspects of the Human Resources department's financial operations, including budget tracking, invoice reconciliation, travel and procurement.
  • Act as a liaison to ensure seamless communication and collaboration between units, assist with project coordination, support policy implementation, and help address workload imbalances during peak periods.
  • Manage the HR Interns and Work Study Students, to include mentorship and support to enhance their professional growth and set learning objectives for assigned projects. Provide career guidance and help them navigate potential career paths in HR.

Department Required Skills
Bachelor's degree in Human Resources, Business Administration, or a related field and

  • A minimum of 3 years of experience in HR administration, office coordination, or similar roles.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite and HRIS systems (e.g., Banner, PeopleAdmin).
  • Excellent communication and interpersonal skills, with the ability to interact professionally at all levels of the organization.


Or
Master's Degree in Human Resources, Business Administration, or a related field.

  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite and HRIS systems (e.g., Banner, PeopleAdmin).
  • Excellent communication and interpersonal skills, with the ability to interact professionally at all levels of the organization

Preferred Years Experience, Skills, Training, Education
Preferred: Experience in higher education or public sector HR.

  • Knowledge of state and federal employment laws and HR best practices.
  • Ability to work collaboratively and contribute to a diverse, inclusive team environment.
  • Notary Public Cert.
