SUMMARY OF THE ROLE
The Document Controller will support long-term operations for the Rio Grande LNG facility located near Brownsville, Texas. This position will report the Supervisor, Document Control in the Operations Engineering Department, under the leadership of the Manager, Quality Assurance & ISO Compliance.

KEY RESPONSIBILITIES:
  • Responsible for adhering to the procedures and processes required to manage all plant documentation. This includes handling, filing and maintenance of technical documentation, maintenance documentation and all other documentation generated within the plant.
  • Interface with intercompany department personnel to provide timely information and provide technical support for the electronic document management system.
  • Manage all controlled documentation (engineering/technical, correspondence, project management - commercial) generated by company and contractor to be stored in the Electronic Document Management System.
  • Manage transmittal of information between company and contractor.
  • Ensure that all documents added or edited within the Electronic Document Management System EDMS are complete, legible, and include all document/file attributes and metadata.
  • Review documentation coding against content for accuracy and identify any anomalies for correction to originator(s)
  • Ensure that an effective and timely electronic and physical (as necessary) document routing and distribution system/matrix is developed and maintained.
  • Maintain hardcopy libraries as required.
  • Assist in the coordination of Supplier and Contractor compliance with procedures in the management of project documents, their metadata, and transfer.
  • Assist in the training of additional Document Controllers when required.
  • Identify updates or changes to Document Control processes and procedures as necessary for evaluation. Provide feedback regarding work progress to company management and/or Document Control Supervisor where applicable.
  • Assist in delivering training as required to ensure that all staff have a clear understanding of the procedures and software related to access and review of documents.
  • Work with other Project Document Controllers to ensure consistency of processes, and enforcement of Document Control procedures.
  • Participate in routine Quality Assurance audits of the document control procedures and EDMS system.
MINIMUM REQUIREMENTS:
  • 4+ years of experience with document control.
  • Computer literate, including proficiency with Microsoft Office Suite.
  • Ability to get Transportation Worker Identification Credentials (TWIC).
  • Experience managing both electronic and physical document transmittal and distribution systems.
  • Excellent organization, planning, and time management skills to ensure timely execution of work tasks.
  • Effective Communications - Accurate, clear, concise, timely and effective communication is vital to this role.
  • Ability to work collaboratively and foster a collaborative work environment.
  • Ability to perform under pressure.
  • Focus on timely, consistent, and accurate results with determination to consistently meet and exceed expectations.
  • An eye for detail to ensure complete documentation and associated metadata.
  • Ability to comply with key project performance drivers and indicators.
  • Adaptability to manage changes in work environment on updated deadlines or unexpected delays.
  • Ability to travel to the Houston office as necessary.
PREFERRED QUALIFICATIONS:
  • Minimum of 3 years administering and using an Electronic Document Management System preferred.
  • Detailed knowledge of multiple Electronic Data Management Systems (EDMS).
  • Detailed knowledge of Quality Management Systems (QMS).
  • Database management abilities (for Lessons Learned Database).
Job Site Work Environment
* Must be able to wear all necessary PPE equipment to perform job functions.
* Operates in a complex construction environment.
* Exposure to indoor and outdoor weather conditions.
* Not necessarily protected from weather and temperature changes. Possible exposure to hot, cold, wet, humid, or windy weather conditions.
* Exposure to moving mechanical parts and electrical circuits.
* Exposure to constant or intermittent sounds of a pitch level sufficient to cause marked distraction.
* Routinely uses standard office and field communications equipment such as computers, phones, photocopiers w/scanner and fax, and radios.

* Ability to drive to other Company work locations as required.

* The incumbent is required to have fully mechanical motion and usage of all extremities.
* Physically able to walk, stand, bend, stoop, kneel, reach, twist, lift, push, pull, climb, balance, crouch, handle, and lift items weighing up to 20 lbs. without assistance.
* Visual acuity corrected to perform job functions. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
* Must be able to clearly communicate with others via radio, phone, and verbal methods.
* May be required to enter confined spaces.
* May be required to work at elevated heights and access elevated structures without assistance.
