We are currently seeking an Assistant Property Manager to join our healthcare-focused Property Management team. Our Healthcare Team helps our client strategize, evaluate and execute real estate transactions to meet their business and asset performance objectives. Our Assistant Property Manager will manage and execute routine lease transactions while fostering client relationships and supporting business growth. Candidate will be responsible for contributing to, or overseeing regular reporting, budgets, cash flow forecasts, collections, lease abstracts, memorandum documenting significant tenant issues and tenant relations. Candidate will work primarily in an observatory capacity role on complex projects. Candidate must be able to work well both independently and as part of a team.

What this job involves

Managing industry changing properties

As the Assistant Property Manager (APM), you will work alongside and provide support to our property management and real estate team members while overseeing portions of our client's portfolio of Healthcare medical office building portfolio of owned and leased buildings. Multi-tasking and flexibility are essential skills needed in this role. Primary responsibilities include interfacing with tenants, landlords, facility staff, finance team members, third-party vendors and the client, as well as responding promptly and professionally to tenant requests and other building issues. Track & follow up on tenant and client requests. Review monthly financial reports, assist in rent collections and help manage minor Tenant Improvement projects. The keys to success will be engaging with tenants and landlord ensuring our client receives outstanding customer service.Additionally, you will work with our team to support new initiatives that enhance service delivery.

Responsibilities and Expectations

  • Administrative and Financial
    • 100% certificates of insurance are accurate and in compliance with standards
    • Contract and lease files are accurate, and up to date, and tracked in Yardi
    • Assist in Management Audits and new property start-ups
    • Process accounts payables (AP) and accounts receivables (AR)
    • Invoice coding
    • Tenant Billings
  • Client/Tenant Services/Day to Day Operations
    • Ensure all tenant communications are of the highest quality
    • Liaison between tenants and building engineers, security and housekeeping
    • Construction Projects/Contractor Relations
    • Scheduling use of materials to be move into or out of property
    • Strong customer service skills
    • Assist with ad hoc projects under the guidance of Senior team members.

Candidate who is open to working hybrid with an expectation of traveling to the various properties on as needed basis and at a minimum of quarterly. Must reside in Northern California.

Education and Experience

  • Bachelor's degree preferred and advanced degree a plus
  • Minimum of three (3) years of commercial property management experience including recent experience managing Office and / or Healthcare properties
  • Advanced oral and written communication skills. Strong organization and time management skills.
  • Experience in Microsoft office, Excel, work orders, certificates of insurance, tenant interaction, Yardi, Corrigo, AP/AR preferred
  • Must have strong financial acumen and experience preparing budgets, CAM reconciliations, and related financial reports
  • Familiarity with and understanding of leases and lease language strongly preferred
  • Familiarity with building systems, lease negotiation, documentation and administration
  • Responsible for management and completion of lease documents and ensuring that timely renewal of expiring Leases. Collaborates with Transaction Management on the acquisition of new tenants
  • Ability to effectively present information and respond to questions from senior level management, clients, tenants, vendors, peers and the public.
  • California Real Estate license required

Estimated total compensation for this position:

78,000.00 - 83,000.00 ADP per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
