Job Summary

This position provides complex analysis in administration, information technology, and accreditation for the Family Medicine Residency Program. The Resident Program Coordinator has vast knowledge of educational information systems, competency and milestone evaluation systems, and accreditation and regulatory standards. This position directly supports the Residency Program Director and is responsible for the administrative activities of the Family and Community Medicine Residency Program as outlined in the Accreditation Council for Graduate Education (ACGME) institutional common program and specialty guidelines for Graduate Medical Education and the recommendations set forth by the AMA's Residency Review Committee (RRC) for Family Practice. This position ensures all ACGME requirements are strictly followed and manages all Family and Community Medicine policies set forth by institutional, state, and federal guidelines and requirements. Responsibilities of this position also include supervision of one residency coordinator and one residency administrative support staff. He/she acts as front line representative of the program serving as liaison between program director and residents; between program director and chief residents; between residents and faculty; and between program director and institutional GME personnel.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in related area and/or equivalent experience/training
  • 1 to 2 years' experience managing a student, residency or fellowship program at a major hospital with expanding duties.
  • Understanding and experience with ACGME Accreditation Policies and Procedures, including accreditation compliance and reporting requirements
  • Experienced user of Residency Program systems and data systems, including Accreditation Data System (ADS) and Electronic Residency Application Service (ERAS)
  • Understanding of institutional and program policies of the National Residency Match Program to ensure departmental and UCDHS compliance
  • Demonstrated program management experience, including budgetary oversight requiring the planning of budgets and maintaining budgetary accountability
  • Position experience requiring the application and use of mathematical skills to add, subtract, multiply, divide, calculate percentages, and produce basic statistical and budgetary reports
  • Strong computer literacy and information technology skills, including experience operating a computer with the following programs: Microsoft Suite (Word, PowerPoint, Access, Excel) Electronic Residency Application System (ERAS), E*Value, (electronic evaluation program), ADS, and Microsoft Outlook.
  • Full understanding and sensitivity to all federal regulations governing patient privacy, including HIPAA

Preferred Qualifications

  • Master's degree in related area preferred
  • Experience managing the Resident advisement process working closely with the Residency Director in administering and maintaining ACGME competency-based goals and objectives for each resident rotation, including maintaining resident duty hour documentation system
  • Experience managing resident training license process, including license renewals
  • Experience with ABFM In-Training Examination, including the administration of the in-training exam and reporting of annual results
  • Supervisory experience
  • Demonstrated experience successfully preparing for and supporting RRC - FM accreditation visits
  • Understanding of scheduling requirements of outpatient clinic operation
  • Ability to work a standard 8:00 a.m. - 5:00 p.m. weekday work schedule with occasional nights and weekends as mandated by program needs.

Department Overview

The Department of Family and Community Medicine has approximately 27 faculty, 48 residents and fellows, 10 staff and 30+ Volunteer Clinical Faculty. The Department provides patient care in the Ellison building and Federally Qualified Healthcare Centers. In addition, patient care is provided on labor and delivery. The Residency Program trains medical providers in all clinical aspects of primary and preventative care throughout the life cycle. Family and Community Medicine Residents are required to have clinical experiences in family planning, obstetrical delivery, pediatrics, emergency medicine, sports medicine, adult medicine, and geriatrics. They are also required to have experiences in community service and service to underserviced patient populations.

Work Environment

UC Davis is a smoke and tobacco free campus effective January 1, 2014.
