Summary

Are you highly organized, adaptable, and ready to support a growing HR team? Talgo Inc. is looking for a driven Office and HR Assistant to help shape a collaborative and welcoming workplace. A successful Office & HR Assistant will act as the point of contact for all employees and visitors, providing administrative support and managing their queries while displaying flexibility and a positive attitude towards everyday challenges.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Administrative Support

  • Serve as front desk receptionist for the facility; greet and assist staff and visitors
  • Organize meetings
  • Assist organization's management with different business-related projects.
  • Plan and execute company events.
  • Assist with processing accounts payable, including tracking expenditures.
  • Manage office supply inventory and process purchases.


HR Support

  • Assist in scheduling interviews and handle application intake.
  • Perform HRIS data entry and personnel file maintenance.
  • Assist employees and supervisors with basic interpretation of HR policies and procedures and with benefit related questions.
  • Conduct new-employee orientations.
  • Maintain confidential personnel files and personnel actions.
  • Track employee attendance and support the preparation of disciplinary documentation in coordination with management and HR.
  • Assist with processing of facility payroll by collecting and reviewing time sheets for accuracy; assist in resolving any discrepancies before sending to payroll department for final processing
  • Training: Assist with the quarterly and annual planning, weekly coordination of schedules, course materials, etc. and maintaining of the documentation of Training Manager database accordingly.


EDUCATION and/or EXPERIENCE

  • Associate or Bachelor's degree preferred
  • Bilingual in Spanish a plus
  • 2 to 5 years of office experience and/or training; or equivalent combination of education and experience. Preferably, with at least 1 to 3 years in an HR related role.
  • Strategical thinking and mindset to contribute effectively to the Human Resources Department.
  • Technical skills with standard software applications such as Microsoft Outlook, Word, and Excel.
  • Great attention to detail.
  • This position requires someone with a positive attitude towards challenges and excellent problem-solving skills, flexible, energetic, hardworking, well-organized, accurate, reliable, independent and self-motivated.
  • Ability to work in a challenging workspace and skills to multitask efficiently and work in a fast-paced environment.
