About the McGrath Outpatient Pavilion: Located in Hillcrest, the McGrath Outpatient Pavilion is a state-of-the-art, 250,000-square-foot medical facility designed to meet the growing healthcare needs of our region. Spanning six floors, this advanced facility is home to key clinical programs and offers specialized diagnostic, treatment, and surgical services. With a strong emphasis on cancer care, we are committed to delivering world-class medical services in a patient-centered environment.

DESCRIPTION

Under the direct supervision of the on-site Operations Manager, the Cancer Center Scheduling Coordinator participates in various daily patient services across all areas of Multispecialty Cancer Clinics and Infusion Centers as needed including, but not limited to, Clinical Care Coordinator desks, Call Center, Cancer Clinics in La Jolla, Hillcrest and North County locations.

Responsibilities include greeting patients, check-in and check-out procedures, appointment scheduling for various Cancer Center services including, but not limited to, Moores Cancer Center Multi-Specialty Clinics, Koman Outpatient Pavilion, McGrath Outpatient Pavilion, Infusion Center, Infusion Fast Track, MRI, Imaging, Radiology and Laboratory Services. The Cancer Center Scheduling Coordinator conducts registration, insurance and authorization verification, updates patient demographics and appointments, collects co-payments, manages/monitors petty cash (cash drawer), expedites reports, works closely with physicians, nurses, staff and other UCSDH departments and teams.

The Cancer Center Scheduling Coordinator provides Call Center Specialist coverage and is responsible for typical duties including, but not limited to, customer service, answering multi-line incoming calls, completing online registration, insurance verification, scheduling appointments, securing authorization for scheduled services, expediting EPIC orders through routed referrals via designated work-queues.

The Cancer Center Scheduling Coordinator also handles Clinical Care Coordinator desk duties, supporting patients by streamlining new patient scheduling and conducting daily reviews of the Epic referral work queue. Additionally, they assist physicians and team members in managing all patient-related affairs, serving as a liaison to address inquiries, expedite patient needs, and fulfill other assigned responsibilities.

MINIMUM QUALIFICATIONS
  • Three (3) years of relevant experience working in a large healthcare organization.

  • Excellent written and verbal communication skills.

  • Advanced customer service skills in person and over the phone.

  • Strong computer skills and abilities managing multiple systems during calls.

  • Working knowledge of medical terminology.

  • Strong attention to detail, organization, time management skills and abilities.

  • Ability to build strong relationships with physicians, clinical and non-clinical team members, colleagues and leadership.

PREFERRED QUALIFICATIONS
  • Experience working in Oncology, and/or multispecialty clinic setting.

  • Knowledge of Oncology, Infusion, Imaging, Radiology, Lab, and/or multispecialty scheduling.

  • Experience with insurance, authorization, and referrals, including knowledge of third-party payors including federal, state, and private health plans.

  • Scheduling experience.

  • Call Center Experience.

  • Epic Experience.

  • Medical terminology training or certificate.

  • Bilingual: English and Spanish.

SPECIAL CONDITIONS
  • Must be able to work various hours, including overtime, weekends, holidays, and locations based on business needs.

  • Position expected to float to multiple locations based on department staffing needs.

  • Employment is subject to a criminal background check and pre-employment physical.

  • Performs other duties as required.

Pay Transparency Act

Annual Full Pay Range: $54,664 - $67,944 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $26.18 - $32.54

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
