Role Overview

We are seeking a Transfer Agent Cash Oversight and Transitions Manager to join our team. The Client Operations team serves as a central operational liaison that focuses on oversight and enhancement to the portfolio event process, including onboarding new accounts, terminations, in-kind transfers and modifying existing portfolios. In this hybrid role, you will focus on managing third-party vendor (e.g., transfer agent, managed services provider) activities and ensuring operational excellence across fund / separate account cash oversight (~70%) and Fund transitions involving institutional clients (~30%). The successful candidate will oversee fund and separate account cash workflows for notification to our trade floor, ensuring accuracy, timeliness, and compliance through rigorous vendor governance and daily oversight routines. Transition-related responsibilities include operational coordination for institutional clients moving to or from pooled investment structures such as Collective Investment Trusts (CITs), ETFs, and Mutual Funds.

As a Transfer Agent Cash Oversight and Transitions Manager, you will closely partner with Portfolio Management, the Trade Floor, Middle Office teams, Operations, Client Management, and external service providers emphasizing timely issue resolution and effective communication. Additionally, the candidate will participate in operations-related initiatives that improve custodian and transfer agent coordination, streamline processes, and drive end-to-end operational efficiency.

Responsibilities

The key responsibilities include, but are not limited to:

Cash Oversight Vendor Management (~70%)

  • Oversee and manage third-party managed services vendor responsible for executing daily cash oversight activities across multiple fund structures including open-end funds, closed-end funds, ETFs, interval funds, hedge funds, and CITs

  • Review daily NAV publication outputs from the vendor and ensure reconciliation accuracy across Bloomberg, custodial portals, and transfer agency records

  • Monitor trade file submissions and IBOR postings for fund cash flows and FX hedges; confirm operational completeness and escalate inconsistencies to internal PIMCO stakeholders

  • Evaluate vendor-created cash reports and standardized outputs related to subscriptions, redemptions, and exchanges across products

  • Review and triage issues related to night cycle issues, trade tickets, particularly Bloomberg-related discrepancies, and coordinating resolution steps across technology teams and vendor contacts. Engage Trade Floor, Cash Desk, Enterprise Risk Management and other areas as necessary

  • Supervise vendor activities involving sub-account reconciliation and statement suppression, ensuring any anomalies are resolved in accordance with PIMCO standards

  • Escalate and coordinate resolution of issues that do not meet predefined thresholds or timeline expectations, referencing PIMCO-defined materiality criteria

  • Facilitate regular vendor service reviews, document feedback, and contribute to quarterly performance scorecards as well as annual due diligence discussions

  • Liaise with internal stakeholders including Portfolio Managers, Product Strategy, Legal, and Compliance to ensure consistent communications and resolution pathways

  • Oversee the cash reporting process for new products that PIMCO may bring to market to ensure a streamlined approach

  • Maintain close engagement with our global colleagues (e.g., APAC, EMEA) to ensure a streamlined approach is maintained across regions, where appropriate

Transitions Management (Fund Transitions Involving Institutional Clients) (~30%)

  • Oversee the portfolio event process, encompassing onboarding new accounts, managing terminations, facilitating in-kind transfers, and modifying existing portfolios with a focus on events with transfer agent involvement

  • Identify opportunities to enhance operational processes and mitigate potential risks using technology, where appropriate

  • Collaborate cross-functionally to develop and implement innovative client solutions, while enhancing existing processes to elevate the client experience

  • Assist in enhancing documentation related to procedures, project phases and preparing summary reports for management review

  • Coordinate activities across various departments, including Client Management, Client Servicing, Portfolio Management, Product Management, Legal, Compliance, Funds Administration, Analytics, Performance, and Operations, as well as with external stakeholders such as clients, banks, and transition managers

  • Foster a collaborative team environment by building strong relationships and demonstrating how each team member contributes to the overall success of projects

  • Engage in all stages of the client portfolio lifecycle, sharing responsibility for key implementation decisions

Qualifications

  • Minimum of a Bachelor's Degree required.

  • Minimum 10 years of experience in vendor oversight, fund operations, or transfer agent services.

  • Working knowledge of IBOR, Bloomberg ticket workflows, Cash Management, and fund accounting systems

  • Experience participating in separate account / fund launches, proration events, and Collective Investment Trust transitions across all clients.

  • Strong analytical and communication skills; capable of interpreting operational data and resolving issues across stakeholders.

  • Ability to lead cross-functional meetings, escalate timely issues, and maintain accountability across vendor relationships.

  • Working knowledge of economics, fixed income fundamentals, or portfolio management.

PIMCO follows a total compensation approach when rewarding employees which includes a base salary and a discretionary bonus. Base salary is the fixed component of compensation that is determined by core job responsibilities, relevant experience, internal level, and market factors. The discretionary bonus is used to award performance and therefore is determined by company, business, team, and individual performance.
Salary Range: $ 100,000.00 - $ 135,000.00
