Posting Summary |
Rutgers, The State University of New Jersey, is seeking a Senior Confidential Administrative Assistant and Events Coordinator for the Office of the President. This position reports to the Director of Administration and provides high-level administrative support and event coordination. The Senior Confidential Administrative Assistant and Events Coordinator serves as a member of the frontline of the Office of the President and is expected to engage professionally and respectfully with a wide range of audiences.
Among the key duties of this position are the following:
- Completes a broad variety of administrative tasks including providing scheduling support for the President's and Chief of Staff's calendars, coordinating meeting and travel arrangements, supporting the preparation of briefing materials, and processing expense reports.
- Provides support for on- and off-campus Presidential events which will at times require responsibilities beyond normal working hours, including weekends.
- Reviews and creates office processes and procedures as needed.
- Partners with the Senior Executive Assistant on office coverage, greeting guests professionally and answering/fielding calls and tracking inbound and outbound correspondence.
- Performs other duties as assigned.

Qualifications
Minimum Education and Experience |
- Bachelor's degree and two years of relevant experience in an administrative function; or an equivalent combination of education and/or experience.

Certifications/Licenses |
- A valid driver's license would be required for this position; Use of personal vehicle in order to travel for business demands.

Required Knowledge, Skills, and Abilities |
- Knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping, report writing principles and practices.
- Discretion and confidentiality in dealing with sensitive deliberations, data, financial information, and other matters related to university planning, legal considerations, labor, and organizational structure.
- Demonstrated proficiency with standard computer applications, including the Microsoft Office Suite/365, as well as various conferencing and other communication applications.
- Excellent interpersonal skills; written and oral communication skills; problem solving skills; and organizational skills.
- Ability to prioritize multiple concurrent tasks, think proactively and to work in a fast-paced environment.
- Meticulous attention to detail.
- Sufficient knowledge of university operations to establish and maintain appropriate priorities.
- Must exhibit professionalism and discretion at all times.

Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption.
