Description

This position provides clerical support to the faculty, administrators, and managers in the administrative offices of SIU Center for Family Medicine - Carbondale and SIU Physician Assistant Program.


Examples of Duties

100% Administrative Support

1. Maintains and performs scheduling for all facility conference rooms and shared classrooms. Schedules video conferencing for FCM and PA Program Administrative staff as needed. Informs Family Medicine Administrative Director and PA Program Business Administrator of upcoming events. 2. Screen calls and visitors for the PA Program and FCM Administrative staff, directing them to the appropriate department or personnel, and personally handle routine inquiries, requests, or problems. 3. Reviews, sorts & distributes incoming mail/packages. Coordinates and schedules outgoing mail (labels packages and facilitates pick-up). 4. Serve as liaison and point-of-contact with SIH Facilities Operations and call for services needed or regarding issues as they arise. 5. Serve as point of contact for building emergency preparedness (emergency broadcast network tests, maintaining emergency exit plans, etc). 6. Maintains parking and key logs; distributes parking stickers and facility and office keys. 7. Determines appropriate formatting and keyboards documents such as meeting minutes, correspondence, agendas, and reports. 8. Creates, updates, revises, and retrieves files, records, departmental contacts/listserves; responsible for maintaining adequate, accurate, and accessible information, including confidential information. 9. Monitors and provides updated information for the website. 10. Create agendas, attend meetings, transcribe and distribute meeting minutes and agendas to participants, and gather necessary materials for said meetings. 11. Tracks, orders, receives and distributes office supplies. 12. Assists with periodic inventory checks 13. Copying/Laminating - Copy papers for student testing/add their names: copy and laminate information for student distribution. 14. Collect assignments and/or proctor exams for PA students and Residents in the absence of faculty or appropriate staff. 15. Scanning - Copy old grades and student files for electronic filing/shredding of what no longer needs to be kept. Scan student papers/tests/forms/assignments, file physical copy in academic file, file electronic copy in student file on T drive as a backup to the PA Program Curriculum. 16. Hang classroom/PBL room/conference room calendars on Fridays as a backup to the PA Program Curriculum. 17. Check & fill the PBL room for supplies each Friday as a backup to the PA Program Curriculum. 18. Thoroughly clean PBL room boards and replace all markers and erasers at the end of the Unit (5X annually) as a backup to the PA Program Curriculum. 19. Under the guidance of the PA Program Unit Coordinators, facilitate the preparation and sending of Thank You cards, letters, and gift-in-kind forms as a backup to the PA Program Curriculum. 20. Assist with referral follow up and medication refills as needed under the guidance of the referral clerk and HCA II. (Make calls to office's to check on the status of the referral, fax external referrals, occasionally speak with patient regarding status of referral) 21. Other Duties as assigned

Qualifications

  1. High school diploma or equivalent.
  2. Any one or combination totaling six (6) months from the categories below:
    1. College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
      • 15 semester hours equals six (6) months
    2. Work experience performing office/clerical activities, including use of computer systems.
