Position Purpose |
Epidemiology is seeking a detail-oriented Operations Assistant who will play a pivotal role in enhancing our department's operations and culture. This position offers a unique opportunity to work closely with faculty, staff, and diverse internal and external stakeholders, ensuring smooth operations and effective communication. |

Proficiency in SharePoint, Microsoft Office Suite, Zoom, Slack, and other relevant software, along with a willingness to learn new applications as needed. |

Key Accountabilities
Description |
Planning, Coordinating, and Scheduling
* Assist with faculty searches, promotion packages, and new appointments & renewals, visitors, and Visa's for faculty and non-faculty academics.
* Adds new positions to
DORR and sees through to posting in collaboration with
GHR
* Submits PAs for new hires and terminations
* Coordinates department activities such as faculty meetings, departmental committee meetings, visitors, education seminars and events, faculty searches, interview processes, workshops, and department events
.
* Assists with nancial transactions including travel, purchasing for the department, and events.
* Manages department distribution lists and other key department management and communication
* Manages checklists and the new hire onboarding process for the Ops Team's responsibilities
* Complete annual space planning survey |

Description |
Communication and Administrative Support
* Serves as the contact person and interacts regularly with diverse internal and external constituents and staff members and conveys information on behalf of the department to the Dean's oce; retains condentiality and discretion.
* Prepares a wide variety of materials such as correspondence, draft letters, committee minutes and reports, handouts, and agendas; proofreads to ensure accuracy.
* Manages, plans, and coordinates the department website, news, and calendar
* Manages department email and triages content.
* Maintains SharePoint les and department databases, following records retention procedures.
* Serves as a resource for departmental communications, i.e., maintains department technology, website, calendar & email
* Documents processes via SOPs |
