Position Summary

Position Summary

The University of New Mexico College of Arts & Sciences seeks a full-time Administrative Assistant to provide general support to the Dean's Office and comprehensive support to four academic centers: the Institute for American Indian Research (IFAIR), the Institute for Medieval Studies (IMS), the Feminist Research Institute (FRI), and the Language Learning Center (LLC).

Key Responsibilities

  • Serve as backup at the front desk of the Dean's Office and assist with general office responsibilities such as Student Academic Scholarships and TA/GA/RA assistantships
  • Provide wide-ranging administrative assistance across four academic units such as support with the planning and execution of events including lecture series, workshops, and conferences; processing invoices, purchase orders, and budget-related documentation; and assisting with promotional activities, developing marketing materials and social media strategies

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.


Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • Associates degree or Bachelors' degree or working on completion of degree

  • Event planning and coordination experience
  • Marketing skills via social media, newsletter development, and/or web development
  • Familiarity with university systems and procedures
  • Experience working in multicultural or interdisciplinary academic environments
  • Experience with budget management and financial record-keeping
  • Bilingualism
