Position Summary Information


Primary Purpose
Under the general supervision of the Department Chair, provides administrative support to the Department of Pharmaceutical Sciences. The position functions under minimal general supervision, independently performing challenging work in high volume, fast-paced, and confidential environment.
Essential Functions
The functions listed are representative of duties typically performed by this position. Staff may perform some but not all, and/or may be assigned additional duties specific to the unit.
  • Provides instructional support for the Department of Pharmaceutical Sciences faculty:

    • Provides assistance to department faculty in ordering research supplies and equipment.
    • Support research equipment suppliers, procure quotes, and order the scientific equipment.
    • Work with the student to help in scheduling and keeping up with equipment maintenance.
    • Work with research faculty and students to help maintain research facilities like the LCSM lab and tissue culture labs.
    • Schedules and/or arranges meetings, travel, lodging, and reimbursements for faculty and students who travel to research meetings.
    • Help faculty to proctor any exams, when necessary.



  • Provides Pharmaceutical Sciences department and faculty support to comply with chemical inventory system:

    • Proactive in ordering chemical supplies.
    • Work with scientific supplies to procure quotes and the best deals possible.
    • Work with gas suppliers and find the best contracts available. Manage the inventory of gas cylinders and their use.
    • Reconciles and balances Pro-Card activity and statement. May review various department/unit accounts.
    • Keeps accurate and detailed records of chemicals ordered by faculty, instructional labs, and department.
    • Functions as primary contact for research maintenance contracts.
    • Processes all accounts payable for department faculty and/or reimbursement requests in a timely manner.
    • Utilizes Banner reports to ensure all indices are accurate and balanced.
    • Uses judgment and discretion when approving items, faculty requests for purchases, and expenses from all types of department funds and endowments.


  • Works with the administrative team on projects and department tasks in either a support or lead role, depending on the nature of the project.

    • Maintain a SharePoint folder for administrative documents and shared folders.
    • Acts as unit staff support for administrative processing, including onboarding graduate students and research faculty as needed.
    • Assists with unit events/activities and participates as needed.


  • Provide administrative support to the department in a variety of functions/areas that may include, but are not limited to:

    • Serves as key contact for the department office, greeting and or meeting constituents, managing requests for information, answering phones, determining the priority of calls, messages, and mail.
    • Supports projects, initiatives, and activities that impact the department's research.
    • Maintains personnel files of faculty, staff, and other personnel, converts to an electronic filing system for efficient operation, and recommends changes to improve office efficiency.
    • Supports internal programs and correspondence between multiple divisions within the School and University.
    • Work collaboratively with graduate students, research assistants, and undergraduate students to maintain all the research facilities that comply with laboratory safety, hazardous materials handling, and disposal.


  • Performs miscellaneous duties as assigned or requested, supporting the department's business needs.

Minimum Qualifications

  • Two (2) years of post-high school education.
  • Three (3) years of experience in customer service and written communications.
  • Two (2) years of experience in engaging databases, event planning, program administration, or a related field.

Preferred Qualifications

  • Progressive leadership experience.
  • Solid knowledge of current Office software, such as Word, PowerPoint, Excel, Internet, and Outlook email, and skills for polling, such as Doodle, etc.
  • Experience in providing administrative support to faculty. Proficient in associated academic software, e.g., Canvas, Examsoft, and Banner.
  • Excellent communication and interpersonal skills are required, as this position interacts regularly with both the campus community and the public.
  • Solid English composition skills, as well as the ability to create, compose, and edit letters and other materials.
  • Capacity to exercise diplomacy and deal effectively with people in a variety of circumstances in a calm, precise way.
  • Ability to multi-task, organize resources and establish priorities in a fast paced, demanding environment.
  • Assume responsibility and work effectively with minimum supervision.
  • Ability to coordinate a variety of activities, correctly interpret directions, and work well under tight deadlines.
  • Must maintain strict confidentiality.
  • Intermediate to advanced skills in MS Office suite, experience using databases, SharePoint, Canvas and advanced experience in Internet searches.
  • Ability to adapt to emerging technology.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.

Duties require constant sitting and repetitive motion while using a computer keyboard and phone. Frequent walking, standing, and simple grasping. Occasional climbing stairs, walking across campus, stooping, and reaching. Constant communication using both spoken and written means. May be required to lift/carry up to 25 lbs.

Hiring Range $20.16 - $26.70 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
