San Pedro Street, Los Angeles, CA 90013 Setting: Not 100% Onsite Schedule: Monday - Friday, 8am - 4:30pm Status: Full-time/Non-Exempt/Non-Management Benefits: Medical, Vision, Dental, Life Insurance, 403(b) Retirement plan, Employee Assistance Program (EAP), etc. Openings: 1 Job Description Summary: In collaboration with the Clinical Quality Assurance Leadership team, the Senior Quality Assurance Specialist will ensure adherence with The People Concern's philosophies and current standards for quality of care and other requirements as defined by Los Angeles County Department of Mental Health (DMH). This position is responsible for ensuring that the work submitted by Mental Health staff is consistent with The People Concern's philosophies and meets the current standards for quality of care, and other requirements as defined by L.A. County Department of Mental Health and Full Service Partnership (FSP) Statement of Work. Job Description Essential Duties and Responsibilities:
- Completion of all documentation audits/data review/other in accordance with The People Concern and Department of Mental Health policies and procedures including but not limited to: Assessment/Intake/Annual/Discharge/Other packets, Quality Assurance Audits, etc.
- Ensure updated client information in Exym and IBHIS database: open/close client episodes and electronic health records, open/discharge clients in database.
- Ensure compliance with LAC Department of Mental Health standards by verifying all documentation accuracy within client charts.
- Using the audit tool, do regular quality checks on charts as directed and as per department procedures, including monthly quality assurance reviews and ensure all corrections are done in a timely manner to enhance quality improvements in the mental health program.
- Communicate audit findings, Department of Mental Health compliance requirements and upcoming changes with mental health program staff.
- Maintain quality control activities (tracking document submissions, interpreting statistical information, etc.) to ensure documentation accuracy.
- Manage Service Request Tracking System (SRTS). Ensure all referrals are provided to FSP programs, client communications entered, transfers and discharges processed according to internal Department and LAC DMH procedure.
- Manage Outcomes Measures Application (OMA) for FSP program. Ensure outcome measures are tracked and processed according to internal Department and LAC DMH procedure.
- Assist DMH program staff psychiatrists, contractors, and licensed staff with PAVE and Medicare Provider Enrollments. Track and monitor status of application.
- In collaboration with Quality Assurance Manager, provide shadowing and/or onboarding training to new Quality Assurance Specialists.
- Coordinate, develop and assist with delivery of ongoing trainings and resources Mental Health staff on Los Angeles County Department of Mental Health (LAC DMH) documentation standards and EXYM workflows.
- Develop and maintain accurate client case files to monitor integrity and ensure completeness upon audit findings.
- Enter client data and new staff data into the Electronic Health Record (EHR) and DMH systems.
- Assist in administrating the EHR, Exym.
- Support with data collection for the agency.
- Obtain and/or check Medi-Cal eligibility verification when needed.
- Meet established timeline standards.
- Adhere to The People Concern personnel policies.
- Attend and participate in agency and department trainings and meetings.
- Collaborate and consult effectively with all levels of staff internal to the agency (e.g. Clinical Quality Assurance, Billing, Mental Health) and external (e.g. LACDMH Service Area Navigators, FSP Administration) and any other staff/programs to ensure adherence to policies and procedures.
- Answer daily questions from all staff, including monitoring the shared QA Inbox, and responding to inquiries regarding the Electronic Health Record (Exym), workflows, helping to troubleshoot issues, and redirecting emails as needed.
- Generate Exym reports as needed to assist staff with compliance.
- Other duties not specified in the position description as requested by the Quality Assurance Manager, Assistant Director, and/or Director of Clinical Quality Assurance.
Job Description Qualifications:
- High School Diploma or GED or Equivalent
- Possess attention to detail, ability to be thorough and accurate.
- Able to work both individually and as part of a team.
- Demonstrate ability to handle multiple tasks simultaneously and to work independently and creatively.
- Excellent communication, interpersonal and team building skills.
- Must possess a valid California Driver's license and maintain an insurable driving record.
- Excellent data management skills.
Job Description Preferred Qualifications:
- Bachelor's Degree preferred.
- Minimum one year QA experience in a LAC DMH mental health contracted agency or directly operated clinic preferred.
- Knowledge of documentation requirements for respective funding sources, specifically Medi-Cal and LAC DMH preferred.
- Knowledge of Electronic Health Record (Exym) preferred.
- Experience with working in a community mental health setting preferred.
- Knowledge of Excel a plus
Job Description Work Environment:
- Field (may need to travel to other agency sites/offices) and indoor office environment.
- On occasion walk or drive to different local sites.
- Regularly required to sit, stand, bend and occasionally lift or carry up to 20 pounds.
- Will necessitate working in busy and at times loud environments.
