CATERING SERVICES MANAGER

WHO YOU ARE
Your past experiences have led you to understand that there is an art + science to the how and what of a culinary professional. You have been perfecting your craft behind the line for a while. Grill, saute, or salad station...you feel confident running each. You are an individual who is as excited to learn from your teammates as well as from the chefs. You've been studying up on the greats and have a fundamental foundation of techniques that you are ready to put to use. Your Instagram feed is almost entirely filled with recipes, restaurants, and chef profiles.
THE ROLE
The Catering Services Manager helps support in detailing all groups and events in the segmentation of weddings and social. This role is not for the faint of heart, so if all aspects of managing groups and event details on a day-to-day basis is not someone's preference, this would not be the role for them. This position supports the transition from contracting with the Sales Manager to then being the bridge between the client and our operational team. The Catering Services Manager is mainly responsible for working with clients to solidify group rooms and catering details and then creation of event space diagrams, Banquet Event Orders (BEOs), rooms management of cut-off dates and group resumes and final billing for the rooms and events actualized. This position will need to be ready to take on multiple groups and events at once and work to ensure timelines and due dates for our clients and internal departments are always executed to perfection.
WHAT YOU WILL DO
- Plan, organize and manage the inhouse details for groups and events (ex. menus, set-up, timeline, group resumes, etc.)
- Transition the client from the contracting phase to the detailing phase and be the point of onsite contact through the event, focusing on execution of all aspects of event planning from the signing of a group or event contract including VIP needs, amenities and group resumes
- Complete Banquet Event Orders (BEOs) for events and group resumes for group blocks and final review of banquet checks with corresponding billing
- Demonstrate acquired knowledge with the ability to upsell clients, while promoting a level of service parallel to the luxury stature of the facility
- Provide hotel site inspections when asked
- Conduct pre-event walk throughs of function spaces prior to events beginning and assist with final billing and payment processing post event
- Exercise resourceful skills to provide contemporary set-ups, menus and functions for groups
- Demonstrate and ability to produce artistic and innovative custom menus for clients while working closely with Executive Chef on pricing and execution
- Work closely with Banquet department on operations and event execution ability to consistently deliver flawless events
- Provide overall direction, coordination and ongoing evaluation of operations
- Ensure detailed execution of all BEO's and group resumes
- Monitor group room blocks and pick up, generating detailed resumes for the operating departments
- Work with outside vendors to ensure client satisfaction for all events/groups
- Engage in fair and transparent client negotiations to achieve maximum revenue and profit potential while meeting clients' needs
- Demonstrate strong ongoing organizational skills in maintaining and documenting all pertinent information specific to group and event accounts ensuring all is documented in Delphi.fdc.
- Respond expediently to client requests and needs, being proud of your ability to adhere to trace dates to ensure we are not delayed in meeting client needs
- Unselfishly perform tasks and projects that support client schedules and sales revenue achievement that help the Sales team meet telephone volume, respond to walk-in site inspections and meet evening and weekend appointments as scheduled and required
- Willing to take on reasonable requests from Director of Sales, Sales Team, or other Executive Committee members
- Build and maintain a trusting and transparent relationship with all stakeholders, specifically taking the time to develop rapport and respect with the individuals of your peer group
- Understand who the hotel is and what we aspire to be by following established practices and procedures, projecting the appropriate brand voice and image of each hotel to achieve objectives, public recognition and acceptance
- Receive and respond to incoming telephone calls and emails in accordance to hotel standards and assists with overflow calls
- Perform administrative skills such as typing, filing, copying, faxing, opening and sorting mail, coordinating appointments and answer telephones according for hotel standards
- Prepare written correspondence including letters, contracts, reports, schedule of events and e-mails using MS, Outlook and Sales systems such as Sales Force, IDeaS, Infor/HMS, and other platforms as asked
- Maintain accounts, including traces, creating and updating bookings, manipulating events in the function diary and the preparation Banquet Event Orders and group resumes
- Maintain the various sales system file systems, both electronic and paper, including account files, program evaluation, databases, master binders for BEOs and resumes
- Periodically assist with front of the house operations including greeting and directing guests and working with banquets on quick sets or tear downs
- All other responsibilities assigned by management

WHAT YOU WILL NEED
- Minimum of (3) three years within a Banquet, Catering or Sales role in upscale, lifestyle or luxury hospitality companies
- Strong wedding and social experience in both group and event sales
- Past experience of working within a boutique-lifestyle hotel company preferred
- Willingness to work a flexible schedule in order to meet client needs, which may include weekdays in addition to the required weekend schedule
- An understanding of Delphi.fdc, PMS systems, Social Tables/Event Diagramming
- Professional proficiency of the English language in reading, writing and verbal communication
- The ability to anticipate and deliver exceptional service consistently
- Must possess excellent knowledge of the hotel and all departments internally
- Must possess ability to coordinate with multiple tasks
- Strong computer skills, namely in Microsoft Word, Excel, PowerPoint, email, etc.
- Excellent communications skills both written/verbal
- The ability to remain highly organized, having the ability to plan multiple activities and meet deadlines with the ability to maintain a positive and professional demeanor at all times
- Excellent interpersonal and communication skills; phone skills, customer service oriented, proactive and a team player
