Position Summary:
We have an exciting opportunity to join our team as a Development Coordinator.
In this role, the Development Coordinator supports the daily operations of the Donor Experience team. Key responsibilities include managing event registration and financials, manipulating mailing lists, preparing acknowledgements and invoices, reconciling expenses and processing reimbursements, handling mailings and other general event logistics and administrative tasks. The Coordinator also provides support to the entire Donor Experience team and may project manage high-touch small events as needed.
Job Responsibilities:
- Efficiently manages event registration by handling phone inquiries, tracking RSVPs, and accurately entering data into the Development department's Blackbaud-based CRM (TRAX).
- Demonstrates fluency in CRM business rules and adeptly translates data between Luminate and TRAX to ensure seamless integration and data integrity.
- Maintains event income records in TRAX, ensuring the accuracy of data entries translated from Luminate online registrations.
- Oversees the invoicing and acknowledgment process before and after events to ensure pledge fulfillment, including creating, mailing, and managing invoices. Collaborates closely with the Sourcing team to process vendor contracts and invoices, meticulously tracking approval progress to align with event deadlines.
- Manages and manipulates multiple event mailing lists and various financial reports throughout duration of event cycle.
- Handles special projects for the Event Managers and Associate Director of the Donor Experience team.
- Proactively follows up with event attendees and executive assistants to gather essential details such as guest names, dietary preferences, and program listings, ensuring a personalized and well-organized event experience.
- Provides on-site support for events.
- Provides a variety of routine clerical functions including coordinating with team members to order event supplies, and oversees event stock on a quarterly basis to ensure supplies are available at the ready.
- Prioritizes work deadlines in order to establish efficiencies across multiple projects and within daily support role.
- Answers phones, takes messages, responds to inquiries and routes calls in a timely manner.
- Performs other duties as assigned.
Minimum Qualifications:
To qualify you must have a Bachelor's degree and 2 years related experience required.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $58,500.00 - $66,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
