Reporting to the Events Administrative Associate (Director of Events, COM Advancement), the Events Coordinator provides professional support to assist in the planning and execution of Advancement events that meet the strategic goals of the College of Medicine (COM), UI Hospital and Clinics, Cancer Center, and Mile Square. This position will also assist with logistical planning, budget administration, and additional activities such as coordinating catering, securing space, and arranging room setups. This role works collaboratively across UI Health and serves as a representative of the university, interacting with volunteers, donors, and key leadership.

Duties & Responsibilities:
  • Assist the Director of Events in the planning and implementation of events and programming that can include large scale signature events, small local/regional engagement, and/or on campus programs.
  • Help manage logistical planning and preparation with key internal partners and external vendors including but not limited to venue and vendor selection, food and beverage service, audio/visual needs, tracking event registrants/sponsors, preparation and dissemination of event materials, and appropriate decor (florals, linens, color schemes, etc.) to meet the quality expectations of the various constituents.
  • Help to manage event registration creation and tracking and maintain relevant data on event attendees (e.g. alumni year, specialty, number of donors, etc.).
  • Help prepare briefing materials for events for leadership and faculty.
  • Help to create and track event budgets, following planning timelines, tracking invoices and financial reports. Complete wrap-up of projects promptly, keeping organized records.
  • Help manage the execution of event-related email and printed communications, printed materials, and promotional/social marketing.
  • Stay up to date on related policies and procedures and assist with ensuring that University events and purchasing guidelines are followed.
  • Help build and maintain databases of information and resources for event planning and recommend vendors (caterers, florists, printers, promotional items, etc.) and appropriate venues and space to colleagues.
  • Perform other related duties as assigned.


  • Minimum Qualifications Required:

    1. High School graduation or equivalent.

    2. Any combination totaling two (2) years (24 months) from the following categories:

    A. Professional work experience in event coordination.

    B. College course work in any discipline, as measured by the following conversion table or its proportional equivalent:
    • 60 semester hours equals one (1) year (12 months)
    • 90 semester hours equals two (2) years (24 months)

    Preferred Qualifications:

    • Event project management experience preferred.
    • Experience in budget maintenance and tracking preferred.
    • Experience interacting with high-level stakeholders, including donors, alumni, and administrative and faculty leadership preferred
    • Event planning knowledge preferred
    • Strong project management skills, organizational, and computer skills preferred.
    • Proficient in using Microsoft Word and Excel preferred.
    • Highly responsible, self-motivated, and exceptional attention to detail, possessing a positive mindset and can-do attitude preferred.
    • Experience with fundraising and Advancement databases, preferred
    • Demonstrated ability to handle multiple projects with competing deadlines and objectives, and the ability to work both independently and as part of a team preferred.
    • Knowledge of principles and methods for curriculum and training design, teaching and instruction for individuals and groups, and the measurement of training effects
    • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources
    • Skill in analyzing information and evaluating results to choose the best solution and solve problems.
    • Skill in scheduling events, programs, and activities, as well as the work of others.
    • Skill in oral and written communication
    • Ability to adjust actions in relation to others' actions.
    • Ability to listen to and understand information and ideas presented through spoken words and sentences
    • Ability to apply general rules to specific problems to produce answers that make sense
    • Ability to develop goals and plans to prioritize, organize, and accomplish work.
    • Ability to work effectively with staff, the public, and outside constituency groups
    • Ability to effectively plan, delegate, and supervise the work of others.
      Ability to utilize various computer software packages, such as Accounting Software, query, etc.
    • Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems
    • Ability to analyze and develop guidelines, procedures and systems
