POSITION SUMMARY:

The Operations Specialist at WAG is responsible for operational and purchasing functions, playing a key role in supporting our startup operations. This role focusses on sales operations, warehouse logistics, purchasing, ERP/CRM systems, and customer support. The ideal candidate is a proactive, detail-oriented professional with a passion for continuous improvement, operational efficiency, and cross-functional collaboration. This position offers a unique opportunity to shape and enhance our customer experience and internal systems, contributing directly to WAG's growth and customer satisfaction.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Sales Operations:



  • Support customer onboarding processes to ensure smooth and efficient experience.
  • Responsible for executing accurate quoting, timely order entry and order confirmations.
  • Integrate our organization into customer supplier portals.
  • Manage targeted sales supporting offerings, such as inventory stocking agreements with customers.
  • Assign and ensure accuracy of tax jurisdictions on orders.


Warehouse and Logistics:



  • Directly manage and oversee warehouse operations, including inventory management, order fulfillment, and shipping.
  • Ensure timely and accurate delivery of products to customers.
  • Implement best practices for inventory management and logistics to optimize cost and efficiency.
  • Coordinate international shipments adhering to international trade compliance regulations.


ERP and CRM Procedures:



  • Maintain and operate ERP and CRM systems to support business operations.
  • Ensure data integrity and accuracy within these systems.
  • Train staff on ERP and CRM usage and troubleshoot any issues.


Purchasing & Supplier Management Support:



  • Process Drop Ship purchase orders, coordinate with the Accounts Payable & Receivable team as required, and ensure timely fulfillment.
  • Maintain accurate pricing information and ensure efficient information management within the company.
  • Support system to monitor supplier performance and relationships.
  • Support ISO certification project by actively consulting on documentation and process refinement.


Article Management:



  • Create, update, and manage product articles.
  • Ensure accurate and comprehensive product information is available to customers and internal teams.
  • Support Marketing & Sales departments on Webshop Content & Promotions.


Customer Support:



  • Take charge of customer support, addressing and responding to order-related questions from customers, vendors, and other internal and external partners in a timely manner.
  • Ensure our customers feel supported and connected through effective communication and service.
  • Supervise the handling of requests for the return of items, ensuring all necessary parties are involved in processing returns promptly and appropriately.
  • Provide oversight for local site support to maintain high standards of customer service.


Analytics & Process Management:



  • Supervise and generate order metrics, manage violations, and bring up process or order concerns to leadership as needs arise.
  • Conduct basic analysis on order metrics to highlight relevant trends and report to leadership.


Additional Responsibilities:



  • Contribute to improve productivity and efficiency of processes throughout the operational organization.
  • Support local site operations and office management tasks.
  • Other duties as assigned.



EDUCATION, QUALIFICATIONS, SKILLS & ABILITIES



  • Bachelor's degree in business administration, Operations Management, or a related field.
  • Proven experience in operations management, preferably in a similar industry.
  • Strong knowledge of ERP and CRM systems.
  • Excellent organizational and leadership skills.
  • Ability to analyze data and make informed decisions.
  • Effective communication and negotiation skills.


Pay Starting at: $58,000

Pay is based on several factors which vary based on position. These include labor markets and, in some instances, may include education, skills, work experience and certifications. You may also be eligible to participate in an annual incentive bonus. An incentive bonus, if any, depends on various factors such as organizational performance.
