Project Coordinator - Part Time

US Remote

This position supports "Essex, an Emmes Company". Essex is a biomedical informatics and health information technology-focused consultancy founded in 2009 and headquartered in Rockville, MD. The Essex team comprises experts with extensive experience in strategically developing and managing complex health and biomedical information programs for clients in the Federal Government, research academia, and private sectors.

Primary Purpose:

The Project Coordinator plays a dual-role, combining high-level administrative, operational, and programmatic support with technical training delivery and IT coordination. This individual will serve as the primary support to the Director of the Office of Data Science Strategy (ODSS) while also planning and executing user-focused IT training across the division. The ideal candidate excels in both executive support and technical communication, ensuring streamlined office operations and effective knowledge transfer of complex IT systems.


Responsibilities

  • Manage and maintain the Director's complex calendar, scheduling meetings, resolving conflicts, and preparing daily briefings.
  • Compile and summarize briefing materials, meeting documents, and post-meeting reports.
  • Coordinate office operations including procurement, supply management, and IT peripheral distribution.
  • Liaise with the DPCPSI Office of Administration to ensure policy compliance and communication flow.
  • Manage travel logistics and budget execution, including developing, tracking, and reporting expenses.
  • Maintain and update Standard Operating Procedures (SOPs) for administrative processes such as recruitment, onboarding, travel, and procurement.
  • Submit training requests, awards, and Conference A submissions for Director approval.
  • Contributing to the design, development, and delivery of IT training via in-person sessions, online modules, webinars, and pre-recorded content.
  • Contributing to the translation of complex technical systems into user-friendly content using presentations, manuals, and video tutorials.
  • Assess training needs and measure effectiveness through surveys and feedback loops.
  • Work independently or with minimal guidance to lead training initiatives that align with organizational priorities.
  • Develop instructional materials and maintain records of all training activities and participation.

Qualifications

  • Exceptional organizational and time management skills with attention to detail and deadlines.
  • Strong verbal and written communication skills for both executive-level interactions and technical instruction.
  • Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Teams.
  • Familiarity with, or being open to learning how to leverage instructional design tools (e.g., Camtasia, Captivate, Articulate) and Learning Management Systems (LMS).
  • Discretion in handling sensitive information and personnel matters.
  • Experience with federal administrative and operational procedures, especially in travel, procurement, and budget oversight.

Education:

  • Bachelor's degree in Information Technology, Business Administration, Education, or related field
  • OR Six (6) years of progressively responsible experience supporting IT operations or federal administrative functions

Experience:

  • Minimum two (2) years of progressive experience in IT training, technical communication, or federal program administration
