Salary Range Starting at: $17.65/per hour

Job Objective:

Under the supervision of the IN Divisional Service Extension Director, this position provides administrative and secretarial support for the Service Extension team. Responsibilities include typing, filing, financial record keeping, supply acquisition, and correspondence and miscellaneous tasks as requested. Handling confidential and sensitive information is an integral component of this position. The Administrative Assistant must use independent judgment, be self-motivated, and able to multi-task. The ability to prioritize and organize diverse tasks is essential. Ultimately, the successful Administrative Assistant will ensure the effective day to day operation of the office.

What You Will Do:



  • Track statistics and maintain accurate financial records for all 52 Service Extension Counties
  • Provide monthly budget to SE Staff
  • Prepare documents for monthly Service Extension staff meetings, take, and transcribe and process minutes
  • Resolve administrative problems by coordinating preparation of reports, analyzing data and identifying solutions
  • Maintain up to date contact sheets for all SE counties
  • Monitor Chase online banking daily, updating Excel worksheets for all SE counties
  • Develop and maintain office filing system
  • Operate a variety of office machines/programs


  • Recordkeeping and reports, prepare, update, and maintain records and files.
  • Data entry, filing, word processing, creating and maintaining spreadsheets, compiling statistics, emailing and checkbook processing, completing online/telephone purchases, maintaining accurate records, photocopying, analyzing data, and problem solving are daily requirements
  • Screen and route telephone calls


  • Track inventories for all counties such as checkbooks, kettle supplies etc.
  • Navigate Microsoft office products and organization specific programs and systems daily
  • Monitor kettle supplies, monies, and data during the annual Red Kettle Campaign and disaster supplies
  • Update and maintain Welcome Packets for volunteers
  • In times of disaster, maintain records, compile county statistics, etc.
  • Occasional off-site assistance
  • Other tasks as assigned by leadership



Minimum Qualifications: The requirements listed below are representative of the minimal education, experience, skills, and/or abilities required for this position.

Education: High School Diploma or equivalent. An associate degree is preferred.

Background Checks: Position requires a background check to be completed, and all background check results will be reviewed.

Experience: Candidates with 2 or more years' experience as an administrative assistant will be given greater consideration

Certifications: Must have a valid driver's license and maintain The Salvation Army Driver's qualification standard; must complete Safe From Harm training within the first 90 days of employment. Fidelity Bond upon hire will be required to handle finances.

Skills/Abilities:



  • Able to speak, write and understand English in a manner sufficient for effective communication with leadership and field personnel
  • Computer proficiency with Microsoft Office skills and ability to learn electronic reporting systems


  • Able to work under pressure, meet deadlines with accurate work, uphold a strict level of confidentiality, ability to multi-task and problem-solve, ability to function independently, and as a supportive team member, strong work ethic


Supervisory Responsibility: No supervisory responsibilities

  • Good speaking, hearing and vision ability, and excellent manual dexterity

Travel: Position may require occasional travel for training, events, meetings and help in times of need

Working Conditions: Work is performed in a typical office environment which may require occasional change of hours
