We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to the Head of Consumer Insights and VP of Strategy, while also providing some team support to the Strategy & Consumer Insights function. This role is pivotal in ensuring the smooth functioning of a fast-paced team that drives strategic and consumer-focused decision-making across Tapestry.

The EA will have demonstrated ability negotiating calendars with senior execs across Tapestry and the brands and understanding how to navigate complex calendars and developing relationships with executive assistants across the enterprise.

Key Responsibilities

  • Executive Support
    • Manage complex calendars and schedule meetings for two executives, one NYC based and one based in London
      • Ensure effective flow of meetings. Communicate daily activities, changes, and issues in a timely fashion
      • Develop relationships with internal administrative staff to facilitate effective meeting planning and scheduling
      • Work effectively with people in different time zones
    • Coordinate and manage meeting logistics
      • Organize agendas, book meeting rooms & conference supplies, manage calendar invites, preparing written materials, manage catering, room setup/cleanup etc.
    • Coordinate domestic and international travel arrangements
    • Prepare Travel & Expense reports, reconcile corporate card expenses, and uphold company T&E policies in a timely and accurate manner
    • Code and process all invoices; partner with budget team and finance to manage all monthly projections and accruals
    • Maintain an extremely high level of confidentiality regarding sensitive information
  • Team & Project Coordination
    • Support team-wide initiatives, offsites, lunches, volunteering, employee recognition etc.
    • Support CI calendaring and logistics management for research projects such as immersions and showroom qualis etc.
    • Assist in the preparation of strategic documents, dashboards, and reports.
    • Track key project milestones and follow up on action items.
    • Maintain team documentation, shared drives, and knowledge management systems
    • Assist team members with administrative projects on an ad hoc basis
    • Submit requests for new hires, office moves, and track the process to completion
  • Finance, Legal, Procurement Process Support
    • Manage legal and procurement processes to support onboarding of new vendors including Ariba/Buying Hub set-up and support and serve as primary point of contact in shepherding contracts through legal and procurement processes
    • Submit and manage all team POs and invoicing process with vendors, includes managing budget tracking, opening POs, monthly TB with finance on actuals, etc.
    • Maintain records of finalized contracts on shared drives

Qualifications

  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Exceptional relationship building with EA community and senior leaders across organization.
  • Proficiency in Microsoft Outlook. Optional/Plus: Microsoft Teams and Excel
  • High level of discretion, integrity, and professionalism.

BASE PAY RANGE $80,000.00 TO $100,000.00 Annually
