Posting Summary
Rutgers, The State University of New Jersey, is seeking a Clerical Assistant for the Institute for Health, Health Care Policy and Aging Research.
Among the key duties of the position are the following:

  • Provides general administrative support as assigned by team members.
  • Handles incoming telephone and email inquiries from study participants.
  • Makes outbound calls and sends email communications to schedule follow up research activities and appointment reminders.
  • Updates and maintains participant outreach databases, logs, and contact lists.
  • Collects, organizes, scans, and files administrative forms and study documentation.
  • Prepares, addresses, and sends participant mailings on a regular basis.
  • Assists with special projects as assigned, based on demonstrated skills and knowledge
  • Utilizes computer equipment and software programs including Microsoft Office Suite (including Word, Excel, and PowerPoint), as well as Rutgers-specific programs.
  • Adheres to HIPAA and research subject protection policies that apply to human subject research.

FLSA Nonexempt
Salary Details $22 - $25/hourly

Qualifications






Minimum Education and Experience
  • High school diploma or equivalent combination of education and/or relevant office, clerical, bookkeeping, library assistant or related experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Demonstrated knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping, and report writing principles and practices.
  • Knowledge of relevant computer software; proficiency in Microsoft Office Suite (particularly Word, Excel and PowerPoint).
  • Demonstrated ability to multi-task and work in a fast-paced setting under multiple deadlines.
  • Excellent judgement when communicating with participants.
  • Ability to complete tasks independently.

Preferred Qualifications

  • Comfortable working in a multilingual and multicultural environment.
  • Fluency (read/write/speak) in Spanish, Korean, Gujarati, Hindi, Haitian Creole, Chinese, or Tagalog.
  • Experience working with Haitian, Indian, Jamaican, Nigerian, Filipino, Dominican, Mexican or Korean communities.

  • Ability to lift small objects and/or packages up to 25 pounds.
