Summary: The Project Coordinator supports the execution of Trauma Quality Programs' strategic and operational initiatives by providing comprehensive coordination, documentation, and communication support. Reporting to the Manager of Project Management and Process Development, this role facilitates the efficient execution of projects, tracks progress, supports system configuration and testing efforts, and ensures consistency across documentation and reporting. The coordinator serves as a key role in ensuring smooth project implementation, cross-functional collaboration, and business system readiness.

This exempt position will report to the Manager, Project Management and Process Development in the Division of Research and Optimal Patient Care. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

The anticipated salary range for this position is $61,600 - $67,000 (commensurate with related experience).

Responsibilities:

Project Coordination and Execution



  • Track project timelines, milestones, and deliverables using appropriate tools and provide updates to project leads.
  • Assist in the development and maintenance of project work plans, action logs, and Gantt charts.
  • Coordinate scheduling, preparation, and documentation for team and stakeholder meetings.
  • Maintain project repositories and ensure documentation is current and accessible.
  • Monitor task assignments, dependencies, and risk logs to support proactive project execution.
  • Application Configuration and Testing
  • Learn and support the configuration of business applications (e.g., CRM, LMS, Survey Tools).
  • Perform system testing based on test cases and user scenarios, document and track issues and outcomes.
  • Support acceptance testing and troubleshooting of new and updated technology solutions.
  • Assist in reviewing, editing, and organizing technical documentation for accuracy and completeness.
  • Maintain clear version control of system documentation, including user guides, process flows, and FAQs.



Data Collection and Business Reporting



  • Assist in the collection, organization, and cleaning of data for reporting and analysis purposes.
  • Support development of project status dashboards, metrics, and internal presentations.
  • Liaise with other program staff and IT to coordinate data-related tasks (e.g., exports, validations).
  • Help streamline data collection and documentation practices across trauma programs.



Communication and Stakeholder Support



  • Draft and maintain consistent communications, updates, and summaries for internal and external stakeholders.
  • Coordinate logistics and communication for staff, workgroups, and committee leadership.
  • Support internal knowledge-sharing efforts through updates to best practices, project templates, configuration guides, and other team resources.
  • Help ensure clarity in cross-functional communications by standardizing templates and communications.



Required Education and/or Experience:



  • Bachelor's degree or higher from an accredited college or university is required.
  • 2+ years of experience in project coordination or administrative roles is required; experience with authoring business requirements, system testing, documentation review, or configuration support is preferred.
  • Strong communication skills (both verbal and written) required.
  • Strong working knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint) and a willingness to learn new systems; Experience with project tracking tools and online collaboration platforms is strongly preferred.
  • Knowledge of programming and data analysis is a plus.
