Job Title: Administrative Assistant (Aerospace/Manufacturing)

Location: 14 Robbins Pond Rd, Devens, MA- 01434

Shift: 1st 7:30 am - 4:00pm

Duration: Full Time

Pay Rate: $19hr. - $24hr. 5% bonus with full benefits

Job Description:

  • With limited supervision, responsible for administrative duties of moderate scope and complexity which requires independent judgement and familiarity with applicable procedures.


Role & Responsibilities:

  • Provides senior level site administrative support.
  • Completes well-defined work assignments and actively participate in hands-on projects and/or special assignments.
  • Organizes, scans and files important records with careful attention to detail
  • Files and scans cross-functional documents required to maintain per federal, state, and aerospace industry regulations; ensures adherence to requirements and advises management on needed actions.
  • Complies with Government/Commercial Practices Manual (GPM/CPM) policies and procedures.
  • Compiles and distributes supply chain reports to necessary stakeholders internally and externally.
  • Ability to interpret data identify metrics needing improvement.
  • Resolves document discrepancies by mediating supplier/manufacturing issues. May facilitate the resolution of issues by arranging and participating in conferences between suppliers and company personnel.
  • Maintains accurate system data for the supply chain function. Monitors supply chain performance reports and advises appropriate personnel of underperforming metrics that may impact supply chain performance.
  • Contributes to team effort by accomplishing related results as needed. Work assignments may include cross-functional or project team responsibilities (e.g., continuous improvement).
  • Coordinates cross-functional admin activities with Quality Assurance, Manufacturing, Purchasing, Engineering, Inventory Control, Shipping/Receiving, and Contract Administration.
  • Uses Microsoft Office products including Word and Excel routinely to track progress and communicate.
  • Provides support for visitors to the site, such as booking conference rooms & ordering lunches
  • Keeps lobby area in order.
  • Assists with tracking items stored off-site
  • Annually, boxes up prior year records


Required Skills:

  • Ability to work effectively with others and be a participative team player.
  • Seven years related office experience or demonstrated ability to perform described responsibilities.
  • Familiarity with Microsoft Office products
  • Experience using a spreadsheet
  • Education certificate in applicable functional area preferred.
  • Ability to accurately type 55 wpm, where applicable. Personal computer skills required.
