The Position

The Opportunity:

We are seeking a proactive and highly organized Site Operations Assistant to support our Site Head, other site leaders, and overall site operations. This role is essential in maintaining smooth administrative functions and amplifying internal communications to ensure our cross-functional site remains informed, connected, and engaged.

Your key responsibilities:

  • Provide high-quality, confidential administrative support to the Site Head and other site leaders, including calendar management, travel coordination, and meeting logistics

  • Serve as primary point of contact for general site inquiries, monitoring and responding to the site mailbox in a timely manner

  • Manage day to day office operations, including ordering supplies and coordinating across various teams to ensure administrative needs are met

  • Act as a connector across all administrative assistants - ensuring they are well-informed about site-wide operations, priorities, and nuances - so they can better anticipate and align their support to their respective leaders

  • Liaise with vendors and site support functions to ensure a well-run and welcoming office environment

  • Stay abreast of important business and site updates, employee engagement initiatives, and upcoming events

  • Coordinate content on internal communicational channels, including digital signage and site-wide announcements

  • Collaborate with leadership team to ensure accurate, timely, and meaningful storytelling that promotes transparency, alignment, and shared purpose across the site

  • Support the planning, scheduling, and execution of different types of meetings (complex events, offsites, interviews, onsite executive meetings) in multiple time zones, for various levels of internal and external stakeholders, often with high confidentiality.

  • Serve as the go-to person for Business Operations. This may include Financial Management processes (POs, invoices, accruals), Onboarding/Offboarding activities, Relationship Management, Learning Management Support, and Department organization (distribution lists, etc).

Who you are:

- 10+ years of administrative, operations, or project support experience, ideally within the pharmaceutical or biotechnology industry.(Years of experience could not be exclusive).

- Strong collaborative mindset, actively supporting team development, contributing to tasks, and sharing useful information.

- Ability to handle sensitive, confidential, and proprietary information with discretion and sound judgment.

- High attention to detail and accuracy, with excellent planning and organizational skills to manage priorities effectively.

- Confident in managing multiple tasks in a fast-paced environment, working with diverse teams and senior leaders, and proficient with gSuite tools (gMail, gCal, gMeet, gSheets, Trello, etc.).

The expected salary range for this position, based on the primary location of Philadelphia, is 67,800.00 - 125,800.00 USD annually. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and Company performance. This position also qualifies for the benefits detailed at the link provided below.
