What you'll be doing...

This executive assistant position will directly report to and support Iris Meijer, Chief Product & Marketing Officer - Verizon Business.

You will be responsible for providing high-level Executive administrative support and organizational tasks to keep day-to-day operations running smoothly for the executives and their teams. You'll be organizing calendars, scheduling appointments, handling travel and expenses, managing email, and essentially taking care of the day-to-day operations in the office so that the executives can focus on the business while you take care of the rest.

Key Responsibilities

  • Managing and maintaining senior executives' complex calendar with constantly changing priorities, while maintaining sensitivity, including scheduling meetings, arranging travel accommodations as necessary, and carving out time for focused work.

  • Acting as a gatekeeper and scrutinizing all requests to ensure time efficiency.

  • Screening meeting requests and employee inquiries, ascertaining who can be redirected to subordinate directors or other offices.

  • Bringing urgent issues for action to the supervisor's attention.

  • Providing information with discretion as needed, requiring detailed knowledge of the Executive's team, the business unit, and general knowledge of company policies, practices, and operations.

  • Preparing documents, developing presentations, and correspondence adhering to Brand Compliance.

  • Partnering with other Executive Admins in the organization and setting a plan with other members of the administrative staff to ensure constant coverage.

  • Developing processes for maintaining team records and training other administrative personnel on procedures while safeguarding confidential information.

  • Establishing relationships and a strong network with executive administrative teams, as well as our partners.

  • Screening and prioritizing communications, both external and internal.

  • Preparing agendas, reports, presentations, and other important materials.

  • Acting as a representative and ambassador to external constituents as needed.

  • Compose and prepare correspondence that is sometimes confidential.

  • Manage detailed travel arrangements, itineraries, and agendas.

  • Finding new ways to increase office efficiency and better ways to support the team.

  • Performing ad hoc project-related duties as requested.

  • May need to work on some evenings and weekends in urgent situations.

You'll need to have:

  • Bachelor's degree or one or more years of relevant experience required; demonstrated through work experience and/or military experience.

  • Three or more years of work experience supporting senior leaders in a similar capacity.

  • Solid proficiency with Webex, Google Suite, Microsoft Office, and Slack.

  • Experience supporting Senior Executive Leaders.

  • Experience building relationships with large, complex teams in a high-performance environment.

  • Experience working well independently and under pressure.

Even better if you have:

  • Ability to work well independently in a dynamic environment.

  • Communication skills and ability to focus on the details.

  • Experience preparing executive presentations, communications, and reports.

  • Experience managing multiple projects and priorities for yourself and others.

  • Experience with budget management and/or travel logistics, and event planning.

  • Comfort with decision-making and problem-solving.

Where you'll be working

The salary will vary depending on your location and confirmed job-related skills and experience. This is an incentive based position with the potential to earn more. For part-time roles, your compensation will be adjusted to reflect your hours. The annual salary range for the location(s) listed on this job requisition based on a full-time schedule is: $78,500.00 - $128,000.00.
