Summary: We are seeking a detail-oriented and organized Data Entry Operator to support a Bureau of Indian Affairs (BIA) contract focused on records management and digitization. The ideal candidate will assist in preparing, labeling, digitizing, and inventorying physical records for long-term storage and transfer to the American Indian Records Repository (AIRR). This role requires strict adherence to federal records management standards, including those from NARA, DOI, and BIA.
Responsibilities
Essential Job Functions:
- Prepare physical records for long-term storage in accordance with BIA, NARA, and DOI guidance.
- Apply accurate labels to each file using Departmental Records Schedule (DRS-1) or Indian Affairs Records Schedule (IARS), including metadata
- Scan/digitize inactive permanent program records following NARA standards (36 CFR Part 1236 Subparts D & E).
- Ensure all scanned files include appropriate metadata, especially when including photos or supporting evidence.
- Maintain a detailed inventory log using Microsoft Word or Excel.
- Submit inventory reports to the Contracting Officer's Representative (COR) via email.
- Differentiate between records and non-records.
- Coordinate with government staff for approval and destruction of temporary records per IARMM/DOI guidance.
- Coordinate with OTR Records, AIRR, and FedEx for shipping logistics.
- Participate in in-person quality assurance meetings with the Administrative Officer and OTR RIMS.
- Follow guidance provided during project execution to ensure compliance.
Qualifications
Necessary Skills and Knowledge:
- Familiarity with federal records schedules (DRS-1, IARS) and NARA digitization standards.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong attention to detail and organizational skills.
- Excellent communication and collaboration skills.
Minimum Qualifications:
- High school diploma or equivalent; associate degree preferred.
- Minimum 2+ years of experience in data entry, records management, or administrative support.
- Required to successfully pass a background investigation.
Preferred Qualifications:
- Experience working on federal contracts or with tribal records.
- Knowledge of 36 CFR Part 1236 and federal records lifecycle management.
- Prior experience with AIRR or similar archival repositories.
