UIC is seeking an Admissions & Records Assistant to join our College of Dentistry Student & Diversity Affairs team. This role will work under the direction of the Senior Director of Student and Diversity Affairs, to assist in the recruitment, admission, evaluation, and selection processes for the College of Dentistry programs including, but not limited to the Doctor of Dental Medicine (DMD), Doctor of Dental Medicine Advanced Standing (DMDAS). This position assists with the implementation of the recruitment strategy, as well as with applicant records management.

Duties & Responsibilities:
  • Ability to work in a fast-paced environment, exhibit strong organizational skills, and maintain detailed, accurate records.
  • Participate and assist in all phases of the admissions and records process for the College.
  • Work with the College's Admissions Committee to implement the enrollment process.
  • Conduct admissions counseling and respond to related inquiries.
  • Manage application data and materials, and coordinate the distribution of all application notifications.
  • Manage the admissions database. Requires knowledge of the American Dental Education Association (ADEA), Associated American Dental Schools Application Services (AADSAS) and the Centralized Application for Advanced Placement for International Dentists (CAAPID) databases.
  • Organize and participate in recruitment and outreach activities for prospective students, both on and off campus.
  • Travel to other universities on behalf of the College to conduct recruitment and informational events.
  • Deliver formal presentations to prospective students. Update and maintain prospective student information.
  • Draft various documents that provide program descriptions, admissions requirements, and other related internal marketing and informational materials. Update the website with new information and marketing materials.
  • Experience with customer service involving interpersonal, oral, and written communication with students, staff, faculty, and the general public.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

1. High school diploma or equivalent.

2. Any one or combination totaling one (1) year (12 months) from the categories below:

A. Coursework in any discipline as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals one (1) year (12 months)

B. Work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

Preferred Qualifications:

  • Bachelor's degree and a minimum of one year of related experience. University Admissions experience strongly preferred.
  • Proficiency with database management and Microsoft Office skills. Strong written, verbal, and public communication skills.
  • Experience with academic prerequisites, licensure pathways, and holistic admissions criteria used to evaluate candidates for dental programs
