Position Summary |
The Development and Alumni Relations Coordinator provides administrative support to the Franklin College of Arts and Sciences Office of Development and Alumni Relations. The Development and Alumni Relations Coordinator is a critical component to the success of the Senior Director as well as to the success of the entire department.
Under the Senior Director's leadership, the Office of Development and Alumni Relations is responsible for building and coordinating connections with donors, alumni, and friends to promote the Franklin College of Arts and Sciences and its mission. The team is responsible for engaging over 100,000 alumni and raising $10M + annually in private gifts to support the University and Franklin College Dean's priorities.
This position involves attention to detail, excellent computer and writing skills, a positive/can-do attitude, and a friendly and calm demeanor. The position demonstrates initiative in assisting with other responsibilities and projects as needed to enhance the operations of the entire Office of Development and Alumni Relations. This position is extremely confidential in nature, having access to confidential donor/alumni information, financial information, and employee/HR information. |

Assist Sr. Director with Administrative Needs
- Schedule and prepare for meetings - may include presentations, agendas, briefings, etc.
- Assist Sr. Director with Outlook calendar management and meeting scheduling.
- Manage all communications with the Development and Alumni Relations staff and external constituents when the Senior Director is traveling/out of the office.
- Plan and implement team staff meetings.
- Coordinate all aspects of donor/volunteer visits - may include parking, meeting space, meeting materials, catering, etc.
- Manage follow-up for meetings - may include entering contact reports into GAIL, follow-up correspondence, etc.
- Assist in preparing annual budgets (state + Foundation accounts) and maintaining accurate balances, processing invoices, etc.

Event Assistance
- Assist with event planning, logistics and materials for receptions, donor and alumni events, board meetings etc. Duties my include arranging space, catering, entertainment, nametags, signage, etc.
- Maintain Development and Alumni Relations event calendars.

General Office Administration
- Mail letters and packages as needed as well as route and distribute incoming mail.
- Maintain supplies such as business letterhead, business cards, nametags, personal stationery, etc.
- Assist the team with maintaining accurate records in the GAIL database.
- Facilitate gift processing.
- Serve as the first point of contact for alumni and donor inquiries.
- Serve as a point of contact with the business office for budget, expenses, and reimbursements.
- Assist gift officers with travel needs such as travel reimbursement requests, travel authority requests, and making other travel arrangements as needed.
- Assist with donor check processing and delivery of checks to UGA Foundation.
- Ensure UGA Foundation policies and criteria are upheld in all aspects of data management.
- Support all gift officers with liaison management: organize agenda, follow up documentation, handle logistics, and prepare handouts for department liaison meetings.
