Job Purpose:
The Senior Management Support Specialist plays a critical role in providing high-level administrative, operational, and analytical support to leadership and project teams. This position is responsible for streamlining processes, managing documentation, supporting project oversight, and ensuring organizational readiness across a broad range of functional areas. The ideal candidate brings strong project management experience, analytical acumen, and communication skills to support mission success with minimal supervision.
Responsibilities:
- Maintain and update project management documentation and job aids to ensure compliance with current procedures and standards.
- Collect, analyze, and report data across multiple sources using advanced Excel functions (e.g., VLOOKUP), supporting capital planning, configuration management, cloud hosting, and other operational needs.
- Draft written documentation, process narratives, FAQs, and coordinate training in support of change initiatives.
- Independently manage executive support functions, including calendar coordination, meeting logistics, and leadership briefings.
- Create and manage document and content structures using tools such as Office 365, SharePoint, Microsoft Teams, and standard file templates.
- Update and organize internal SharePoint content, standardize internal processes, and ensure consistency across platforms.
- Interpret Executive Orders and legislation to assess operational impact and identify required tasks and deadlines.
- Assist the Project Management team with quality gate and SOP documentation to meet checklist and compliance requirements.
- Review and edit draft policies and internal documentation for formatting, grammar, and clarity.
- Coordinate responses to leadership data calls, track taskings, and manage suspense deadlines with follow-ups to ensure completion.
- Develop and maintain task tracking tools or dashboards for leadership task management.
- Provide support for presentation creation, research, data compilation, and delivery for executive and internal meetings.
- Conduct daily QA checks and update change logs for change management initiatives to ensure pre-deployment readiness.
- Support virtual testing initiatives by preparing test plans, tracking progress, assisting testers, and organizing documentation and reports.
- Maintain team communications, distribution lists, and bi-weekly meeting agendas using defined templates.
- Perform duties within the broader Management Support Specialist category and contribute to additional management tasks as assigned.
Education and Experience:
- Bachelor's degree in Business Administration, Public Administration, Project Management, or a related field (or equivalent experience).
- Minimum of 5 years of experience in management support, project coordination, or similar roles.
- Proven experience in federal program support, data management, and process documentation is highly desirable.
- Proficiency with Microsoft Office Suite, including advanced Excel functions.
- Experience with Office365 tools, SharePoint, and Microsoft Teams for content and workflow management.
- Ability to analyze legislative or executive guidance and translate into actionable business tasks.
- Excellent written communication, editing, and presentation preparation skills.
- Strong interpersonal skills with the ability to work collaboratively in a team environment and independently.
- Detail-oriented, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Experience supporting change management, testing cycles, and process improvement efforts.
