Summary of Job Duties:The Administrative Assistant for Campus and Community Engagement will report to the Director of Campus and Community Engagement and is responsible for the coordination of the day-to-day operation and provide administrative support to the Office of Campus and Community Engagement. This includes Student Activities, Fraternity and Sorority Life, New Student and Family Programs, Student Organizations, and Box Office. Qualifications:

Required Education and/or Work Experience: Minimum qualifications include a bachelor's degree from an accredited institution, strong communication skills, and the ability to work with diverse populations. Two years of related office and/or customer service work experience needed. Bilingual and able to read, write and speak Spanish proficiently is preferred.

Essential Job Duties and Responsibilities:

  • (27%) Serve as the point person to oversee all office administrative responsivities, to include for greeting guests, answering phones, assisting with parking passes, mail responsibilities, etc.

  • (18%) Assist with monitoring finances within CACE to include purchasing, reconciliation of accounts, RSO reimbursement, entering requisition, etc. within Workday and NUMALink.

  • (15%) Manage all aspects of the event ticketing system.

  • (15%) Provide daily supervision of student assistants and student workers.

  • (5%) Use Workday tasks to complete travel spend authorizations and arrangements for RSO and CACE travel, as well as assists with expense reports

  • (5%) Maintain all office inventory, including Lost and Found.

  • (5%) Assist Director of Campus and Community Engagement with scheduling and event coordination, as needed.

  • (5%) Maintain all office inventory, including Lost and Found

  • (3%) Act as a back-up for Campus Center TV monitors on the first floor and CACE reservations.

  • (2%) Assist with compiling research and reports, as needed, while maintaining confidentiality.

  • (5%) Other duties as assigned.

Knowledge, Skills, and Abilities: To perform the job successfully, the following competencies are required for the essential functions of this position:

  • Provide excellent customer service skills including proper telephone etiquette and pleasant phone voice

  • Knowledge of grammar, punctuation, spelling, and proofreading

  • Knowledge of general office procedures

  • Ability to operate standard office equipment

  • Demonstrate strong computer skills and knowledge of various software programs

  • Ability to adapt to a changing environment, deal with frequent changes, delays, or unexpected events

  • Planning and organizational skills, including the ability to prioritize work activities and use time efficiently

  • Ability to multitask and delegate responsibility

  • Ability to consistently be on time

  • Ability to work with a team and supervise student employees

Additional Information:

Working Relationships: Works with Student Affairs staff, faculty and staff from across campus, students, and members of the local community.

List Employees Supervised: No professional staff but will have oversight of student assistants and student workers with the office. They will have direct oversight of two student employees with indirective oversight of additional student staff.

Special Job Dimensions: Work performed primarily in an office/classroom setting. Extended hours required. While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. Required abilities include walking, standing, and sitting for extended periods. Visual demands include close, relatively detailed vision when focusing on a computer screen. Employee regularly talks and hears. Employee occasionally lifts items up to 20 pounds.

Work Schedule: Work schedule is based on 40 hours per week and varies according to duties. Extended hours, including working nights and weekends required. Flexibility in adjusting work priorities and able to work a flex schedule is a must.
