Purpose:

This Senior Executive Assistant role is much more than calendar management - it is a strategic extension of the Chief Legal Officer's (CLO) office and a trusted partner in driving operational excellence and leadership effectiveness across a global Legal team. You'll participate in senior leadership meetings, manage key workflows and projects, and contribute to the CLO's communications and planning. As a critical member of the team, you will be expected to think ahead, stay composed under pressure, and act with utmost discretion and judgment.

Responsibilities:

  • Executive Support
    • Manage complex and dynamic calendars, including scheduling meetings across time zones, prioritizing requests, and ensuring the CLO is prepared and focused.
    • Coordinate domestic and international travel, logistics, and briefing materials.
    • Manage expense reports, purchase orders, and other administrative processes with accuracy and efficiency.
    • Must be able to communicate effectively and respectfully with all levels of the organization (executives and project staff alike).
  • Leadership Support & Meeting Execution
    • Attend Legal leadership team meetings and select cross-functional meetings to capture detailed minutes, track action items, and ensure follow-up.
    • Serve as a point of coordination for CLO-led initiatives, planning cycles, and communications.
    • Prepare and polish executive-level PowerPoint presentations, talking points, and briefing notes for internal and external meetings.
  • Project & Workflow Management
    • Assist with special projects, org-wide communications, and legal department events or offsites.
    • Monitor and manage key workflows (e.g., board or audit prep, legal team updates, internal reports), ensuring timely delivery.
    • Serve as a liaison with other executive admins and stakeholders across the business.
    • Full comprehension of company's operation and project procedures.
    • Maintain confidential records, documents, reports, presentations, graphs, organization charts, filing correspondence.
    • Preparation of reports including the coordination, formatting, proofreading, Worley Brand compliant, and review spelling and grammar.
  • Confidentiality & Discretion
    • Handle sensitive and confidential information with utmost professionalism.
    • Act as a trusted partner and sounding board for the CLO, helping to ensure that priorities are aligned, and time is used strategically.

Technical/Industry Experience and Qualifications Requirements:

  • Proven experience in planning and managing executive support within a global organization.
  • A confident, proactive manner with a forward thinking, organized, solutions-focused style.
  • Ability to prioritize and manage a wide range of competing tasks associated with the needs of a Group Executive.
  • Ability to develop and implement administrative and business processes effectively, trouble-shooting general issues and formulating and implementing solutions.
  • Strong relationship and partnership building skills. Demonstrated ability to engage with a wide range of senior stakeholders and high-profile organizations.
  • Ability to manage strong behaviors to ensure effectiveness.
  • High Personal integrity with the ability to deal with, and accept responsibility for, highly confidential information.
  • Strong attention to detail with solid written and verbal communication skills.
  • The ability to work flexible hours due to the global nature of the role.
  • Enjoy working as a collective within an EA network; lead by example and be a go to person within that network.
  • Travel Assistance - travel arrangements, including visa processing.
  • Demonstrated experience in an executive assistant, chief of staff support, or administrative business partner role, preferably supporting C-suite leaders or Legal/Compliance executives.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Excellent written and verbal communication skills, including experience drafting professional correspondence and preparing presentation materials.
  • Confident in high-stakes environments with senior stakeholders; calm under pressure.
  • High degree of integrity, discretion, and judgment when handling confidential information.
  • High proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel); experience with collaboration tools like Teams, SharePoint, or Concur a plus.
  • Comfortable working independently and as part of a globally dispersed team.

Education - Qualifications, Accreditation, Training:

Required:

  • Secondary school education or equivalent and relevant experience.
