The Opportunity:

UCF Advancement and Partnerships seeks candidates for an Event Coordinator, Donor Experience (TEMP). The Event Coordinator plays a critical role in planning, coordinating, and executing impactful stewardship and engagement events across UCF. This position partners closely with the Donor Experience team and university stakeholders to bring meaningful donor experiences to life. From managing event records in Apollo to coordinating logistics for college, unit, society, regional, and campaign events, you will help ensure seamless, high-quality experiences that deepen donor connections. Some travel and occasional evening or weekend work is required to support events.

Responsibilities:


  • Coordinate logistics and provide on-site support for society, college, unit, and select stewardship events.

  • Support planning and execution for regional and campaign-related events, including travel as needed.

  • Create, track, and manage work orders for projects and events; serve as project manager to ensure deadlines are met.

  • Build and maintain Apollo event records, registration pages, and RSVP management.

  • Create and manage event-related email campaigns and other digital communications.

  • Assist with contract approval, submission, and tracking through CobbleStone.

  • Manage invoices, expense reports, and payments with proper documentation and fiscal oversight.


Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6). Click here for more information

Preferred Qualifications:


  • Experience planning and executing events in higher education, nonprofit, or corporate environments.

  • Familiarity with CRM and event management systems (e.g., Apollo, Salesforce, or similar).

  • Proficiency in creating event-related email campaigns and digital materials.

  • Familiarity with project management software and proficiency with Microsoft Office Suite.

  • Knowledge of contract management platforms (e.g., CobbleStone) and expense management processes.

  • Strong organizational skills with proven ability to manage multiple projects and deadlines.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Excellent written and verbal communication skills and a strong customer-service mindset.


Special Instructions to the Applicants:

Advancement and Partnerships values the unique contributions that each team member brings to our division. The anticipated hourly rate for a well-qualified candidate is $23.33 - $28.74. The final determination of a successful candidate's starting rate will vary based on several factors, including education and relevant experience. The anticipated pay scale indicated for this position generally applies to candidates who meet the minimum requirements and several of the preferred qualifications outlined above. All offers are contingent on successful background and reference screens.

This position will work occasional nights, weekends, and travel to support events.
