This role is responsible for ensuring the RWC Atlanta office runs smoothly, efficiently, and in alignment with company standards. Acting as the face of the office and the first point of contact for visitors, clients, and staff, this position combines front-of-house receptionist duties with the overall responsibilities of managing a productive and professional workplace.

The Office Manager will greet guests, answer and direct calls, coordinate meeting spaces, and oversee all day-to-day office operations. They will manage facilities and vendor relationships, ensure the workplace is well-maintained, and provide high-level administrative support to the leadership team. The role requires handling sensitive information with professionalism and discretion, exercising independent judgment, and anticipating needs before they arise.

The ideal candidate is a highly organized, detail-oriented professional who thrives in a fast-paced environment, can manage multiple priorities with minimal supervision, and serves as a trusted representative of the leadership team-both internally and externally.

Responsibilities (Essential Duties):

  • Manage the functional operation of the Atlanta office campus including but not limited to vendor selection, scheduling maintenance and repairs, supply orders, invoice management and processing for the department, copier equipment management, security system management (24 hr. availability), purchase of furniture and decor, and other activities as they occur.
  • Manage vendor relationships ensuring prompt and efficient service, including the office cleaning vendor and providing direction to the on-site cleaning team.
  • Coordinate and track budget and expenses for the Atlanta office campus; manage purchases through appropriate system.
  • Ensure day-to-day activities are performed professionally and efficiently and the position is being leveraged effectively in support of the staff and Atlanta facility. Receptionist responsibilities include:
  • Manage and schedule distribution of company vehicles.
  • Participates as the Atlanta Office representative of the S.P.I.R.I.T. Champions (office lunches, birthdays, activities) and handles arrangements.
  • Support Senior Leadership Team (SLT) through the performance of a variety of tasks including processing expense reports, drafting correspondence, arranging travel, coordinating meetings and conferences including managing logistics of travel-related activities for attendees, and copying and distributing documents as needed.
  • May organize, host, and facilitate activities such as team and cross-functional meetings, conferences and department activities for the Executive team and/or their direct reports.
  • Regularly handles highly confidential, extremely complex and non-routine information.
  • Runs business errands and has reliable transportation to do so (mileage is compensated).
  • Perform additional relevant duties as assigned.

Education and/or Experience:

  • Education: Bachelor's degree preferred or relevant experience.
  • Minimum five (5) years' experience working with Executive and/ or senior leaders.
  • Minimum two (2) years' experience in facility management including vendor selection and management, facility maintenance and management, and ordering supplies.
  • Strong computer skills including Microsoft Office, Word, Excel and Power Point
  • Strong organizational skills with the ability to prioritize and manage multiple projects while maintaining attention to detail.
  • Experience with Microsoft Office to include: Word (letter/document creation), Excel (chart, graph and table creation), and PowerPoint (presentation preparation) and Outlook (email, scheduling and calendar management).
  • Licenses and Certifications: Valid driver's license.

Working Conditions & Physical Demands:

  • This position will be in an office environment and is required to be in the office Monday-Friday (not eligible to work from home/remotely).
  • Hours are 8:00 to 5:00 with lunch except when lunch is provided*
  • Minimal travel required other than periodic errands for supplies or food for meetings.
  • Job requires sitting, standing, lifting and driving. Must be able to use a computer and answer the telephone without assistance. Excellent vision, hearing, speech and motor skills are required to perform essential functions of the job.
  • The ability to bend, lift and carry up to 25 lbs. is also required.
  • Must possess a strong customer-centric attitude, high energy level and a strong sense of urgency
