The Cancer Center of Kansas (CCK) is seeking a full-time, on-site Facilities & Procurement Assistant to join our team in our Wichita, KS offices. The typical work week is Monday through Friday, 8:30 AM - 5:00 PM with no major holidays, no on-call and no weekends.

What does this position entail?

Provides administrative and general support to the Support Services department, including monitoring of maintenance needs, supply requests, inventory, and general support needs of all offices of the Cancer Center of Kansas. Performs purchasing of medications and drugs, office and facility supplies, and other items as directed. Assists with intaking and processing invoices and other requests for payment in accordance with established policies and procedures and through coordination with the Accounting department. Supports and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.


Responsibilities

The essential duties and responsibilities of this position are:

  • Provide daily clerical support for the Support Services department and to Executive Team members as requested.

  • Assist with courier duties to and from offices and other establishments to expedite delivery of items.

  • Responsible for receiving, stocking, and helping keep inventory of materials, furniture, and office equipment for all offices.

  • Process incoming invoices with accuracy and in an efficient manner for proper payment.

  • Update supply inventory levels, including medication supplies, in inventory management system(s).

  • Produce documents, correspondence, and other reports as requested for daily support and duties, as well as for assigned projects.

  • Assist in preparation of medication recalls and the return of expired medications as needed.

  • Break down shipments daily and distribute to or throughout the offices as assigned.

  • Assist with purchase orders to keep supplies and inventories accurate and replenished.

  • Assemble, move, repair, and install equipment or furniture as needed.

  • Act as a point of contact for the Support Services department and CCK offices as it relates to external vendors and facility-related contacts at sites.

  • With Manager's direction, assist CCK staff members in handling inbound facilities requests from leadership members and sites.

  • Provide light physical facilities assistance, such as changing light bulbs, replenishing water coolers, transporting inventory, unboxing and boxing shipments, etc.

  • Perform nonhazardous spill cleanup as needed.

  • Help coordinate emergent facility needs.

  • Run errands as requested/approved by Manager or Executive Team members.

  • Assist with calendaring and coordination of maintenance needed on office equipment, such as wheelchairs and vitals equipment, as needed.

  • Work to maintain supply chain levels, reporting up and out as needed.

  • Assist with organization and implementation of special facilities or support projects.

  • Demonstrate knowledge of and adhere to confidentiality, state, federal, and HIPAA (Health Insurance Portability and Accountability Act) laws and guidelines with regards to patients' records and information.

  • Attend required, applicable meetings.

  • Remain current on all compliance requirements.

  • Ensure all applicable policies and procedures of the company and Network are followed.

  • Perform other tasks as reasonably requested or assigned by Manager or Executive Team members.

Supervisory Responsibilities:

  • None.


Qualifications

The ideal candidate for the position will have the following qualifications:

Education/Training:

  • High school diploma or equivalent required. One year of office experience preferred.
