We are in need of an efficient and independent Office Manager to ensure smooth office operations and provide administrative support to our team at this location. - Welcome guests and ensure that employees and visitors have a positive experience while in our office.
- Organize the Charlotte office space and serve as a primary point of contact for staff regarding office needs.
- Ensure physical building needs are managed and that office supplies are adequately stocked, equipment is functioning, administrative processes run smoothly.
- Work directly with Spectrum (Charlotte building management) to schedule and receive deliveries and mail.
- Work directly with Spectrum, Chatham Support team and Chatham Security team to assist with badging and building security.
- Assist with presentation needs (binding materials, hosting client guests, etc.).
- Manage kitchen area inventory, stocking supplies, and ensure equipment is in working order.
- Ensure physical building needs are managed and that office supplies are adequately stocked, equipment is functioning, administrative processes run smoothly.
- Vendor management (cleaners, shredding service, equipment, etc.)
- Manage expense reports and client reimbursables
- Work with various teams to help manage team new hire onboarding/offboarding. Welcome new employees and help them get acclimated and set up at their workstations.
- Work alongside Travel team to learn company policies, procedures, and tools related to travel and expense booking to be a resource to employees in accurately booking individual travel and expenses.
- Work with IT Support to help solve problems with simple IT office concerns, help organize equipment and supply equipment to employees.
- Manage employee, community, client events, and activities
- Plan and execute food and logistics support for client conferences, community partner events, and internal meetings and activities to help foster team culture.
- Remain mindful of important milestones, dates, volunteer activities and events (team member birthdays, work anniversaries, etc.) and help create a welcoming environment by leading related social activities.
- Work in coordination with headquarters Experience Team on companywide initiatives/events.
- Help plan and coordinate activities that support our 1% initiative supporting the local community.

- Minimum 5 years of office management and/or administrative support experience
- Ability to learn technologies quickly

- Trustworthiness to handle highly sensitive and confidential information
- Humility and willingness to learn

- Willingness to occasionally travel to Chatham Financial headquarters in Kennett Square, PA
- Must be able to lift up to 50lbs.
