Front Desk Supervisor - Administrative Supervisor Support Services Support Services Jobs with David Evans and Associates:

David Evans and Associates, Inc. (DEA) is looking to add a full-time Front Desk Supervisor to our Support Services group to serve as both a welcoming face and a key operational support for our Portland, OR office. This pivotal role offers the opportunity to excel in a collaborative environment- navigating challenges, communicating with staff, streamlining administrative processes, and overall creating an environment where staff are able to do their best work and clients, visitors, and members of the public have a great experience when they interact with us. This role is responsible for providing oversight and direction to our capable 2-person receptionist team and includes collaboration with staff across all of DEA's 30+ offices.

What You'll Do Key Responsibilities:

In this multifaceted role, you will contribute across several business support functions.

Your core duties will include:

  • Reception Services Leadership: Provide direct supervision and mentorship to reception staff, fostering a culture of accountability, growth, and collaboration. Manage daily reception team schedules, assignments, and coverage to ensure seamless front office operations.
  • Visitor Experience Management: Ensure exceptional front desk support, including greeting visitors, effective management of a multi-line phone system, and creating a professional, welcoming environment.
  • Firmwide Onboarding Facilitation: Serve as the central coordinator for DEA's established onboarding program, ensuring a smooth and welcoming experience for all new hires across the company's 30+ offices. Facilitate the onboarding experience for new employees with a high-touch, organized approach to provide them with the best start in their new jobs. Maintain consistent, high-quality execution by partnering with Human Resources, IT, local office staff, and other key teams. Proactively identify and address gaps by collaborating with subject matter experts to refine and improve onboarding processes as needed.
  • Administrative Support Tasks: Complete and oversee a wide variety of administrative responsibilities using Microsoft Office applications, including professional writing, spreadsheet work, report preparation, and communications and forms related to interactions with vendors, clients, employees, and the general public.
  • Facilities Support: Interfaces with staff about building-related issues, submits requests for services or repairs to the building management company for resolution.
  • Support Services Team Support: This position is part of a cohesive team of support services specialists who instinctively collaborate and provide coverage for each other whenever a teammate is out, a teammate has a large project, or there is a large event in the office. This shared sense of responsibility means that the person in this role may flex to assist with setting up meeting spaces, supporting mailroom or records management tasks, or helping to facilitate employee events.
What You Bring Required Qualifications:
  • Commitment to work in DEA's Portland office 9 hours/day M-F, with every other Friday off. The schedule for this position is within the core hours of 8am - 5:30pm. This position is expected to provide on call in office support.
  • 5+ years of administrative experience.
  • Minimum of 3 years of experience in a supervisor role, preferably in an office administration environment. Demonstrated ability, to lead, train, develop and document standardized processes, and provide exceptional customer service.
  • Experience answering a multi-line phone system and routing calls.
  • Ability to effectively multitask and prioritize and track issues through to completion.
  • Ability to learn new technologies (position will use Microsoft SharePoint, ADP).
  • Strong collaboration and service orientation.
