Job Summary
The position is responsible for overseeing day-to-day division admin supervision, providing comprehensive human resources administrative support, and ensuring a seamless employee experience from recruitment through onboarding. This role coordinates and supports recruitment processes, facilitates new hire onboarding, maintains HR records, and ensures compliance with organizational policies and employment regulations.
Additionally, the position provides direct supervision to administrative support staff, promoting efficient operations and high standards of service.
Key areas of responsibility include staff scheduling and performance oversight, recruitment coordination, onboarding logistics, HR documentation, and support for employee lifecycle events. The role serves as a central liaison between department leadership, HR, and staff to ensure smooth communication, timely processes, and a positive work environment. - Bachelor's degree in HR, Business, or a related field or equivalent experience.
- Previous Human Resources experience.
- Experience using but not limited to: Microsoft Word, Excel, PowerPoint, email, internet, human resources, timekeeping systems and etc.
- Experience working with and maintaining confidentiality in payroll, personnel and other sensitive issues.
- Detail-oriented and deadline-driven.
- Proactive communication and coordination.

Preferred Qualifications
- Experience using MyInfoVault, AggieTravel, and AggieBuy.
- Investigative skills to elicit information needed to clarify inquiries and requests.
- Professional skills to handle sensitive or difficult situations diplomatically and to work effectively and sensitively with constituents from diverse cultural backgrounds and perspectives.
- Working knowledge of UC Path, Kuali, Aggie Travel, Aggie Buy, University payroll policies and forms preparation.
- Knowledge of human resource principles and practices and to interpret, understand, and apply University human resource policies and procedures, including but not limited to UCD P&P Manual, Academic Personnel Manual, Personnel Policy for Staff Members, collective bargaining contracts, Worker's Compensation, Family Medical Leave Act, University policies relevant to sexual harassment, discrimination in employment, employment of foreign nationals near relatives, and pertinent federal, state, immigration and naturalization laws, and private regulatory agency rules and regulations.
