Job Summary

The Utility Management Services Manager, reporting to the VP of Energy Management within the Asset Management department, oversees utility operations and sustainability compliance across a multifamily real estate portfolio. This role manages vendor relationships, utility benchmarking, and ESG reporting, including interaction with standards like GRESB. It requires strong analytical and accounting skills to resolve billing issues and support financial performance improvements through process optimization. The position involves cross-functional collaboration with internal teams and senior leadership, demanding excellent communication and organizational abilities. Experience with utility management software and tools like Power BI is preferred, along with a deep understanding of energy and water mandates.

Key Responsibilities

  • Independently researches and resolves issues related to property accounting, utilities, and vendors.

  • Oversee utility benchmarking services and ensure compliance with municipal and state mandates.

  • Assist VP of Energy Management with ESG reporting for real estate and ensure interaction with GRESB and other sustainability reporting standards.

  • Updates procedural changes to vendors and other internal teams.

  • Communicates and monitors process guidelines with third party vendors and internal teams.

  • Coordinates with accounting groups on all procedural and operational duties.

  • Exercise independent and well-informed judgement in resolution of Resident Billing issues, inquiries from Senior Leadership, and other work items.

  • Help identify and implement opportunities for process improvement.

  • Identifies, plans, and implements process improvements with outside vendors and internal teams that successfully impact the financial performance of the properties.

  • Follow-Up and Follow-Through with long-term resolutions, including coordination of internal and external resources. Communicate/Coordinate resolutions with Stakeholders, aka Project Management.

  • Identifies key internal and external resources to best accomplish operational objectives

  • Strong reporting skills with Power BI tools, preferable.

  • Prepares and analyzes reports as requested from Leadership.

  • Able to lead and coordinate resources for Submeter and Resident Billing Projects.

  • Completes company required training by established deadline.

  • Complies with all Fairfield standards, applicable health and safety rules and regulations, as well as applicable local, state and federal laws.

Education & Certifications

  • Bachelor's degree preferred.

Experience

  • Minimum of five years of Utility/Energy Management experience required.

  • Multifamily Industry experience required.

  • Knowledge of Real Estate Energy & Water mandates is required.

  • Experience using SharePoint preferred.

Skills & Competencies

  • Strong knowledge of Microsoft Outlook, Word, Excel and PowerPoint.

  • Intermediate accounting and analytical skills.

  • Yardi, RealPage, Conservice or similar utility management software experience required.

  • Strong customer service skills, including the ability to manage difficult customers and situations.

  • Strong organizational, prioritization, time-management, and problem-solving skills.

  • Detail oriented; ability to manage conflicting priorities and to adjust priorities daily.

  • Strong professional verbal and written communication skills.

  • Comfortable communicating effectively with Senior Leadership (Asset Managers, Vice Presidents, etc.)

  • Comfortable communicating effectively and directing third parties (Utilities, Business Partners, etc.)

  • Ability to work independently to meet self-determined goals and deadlines on a consistent basis.

  • Strong adherence to ethical standards including, but not limited to, the ability to maintain confidentiality and maintain fiduciary responsibility.

  • Ability to work a flexible schedule if needed.

Estimated Rate of Pay:

$70,000.00 - $75,000.00

This position is exempt; the range above reflects annual base salary.

The pay range displayed for this position is determined by skills and experience required, location and job complexity*. Potential job offers may vary based on the skills, education, and experience an individual candidate holds. This range reflects base rate only, and does not include allowances, perks, commissions or bonuses applicable to this position (if any).
