Seneca Global Servicesis looking to hire aClient Services Representativeto manage the mail system for our government client in Falls Church, Virginia. This position provides critical support to the Defense Health Agency (DHA). DHA is a combat support agency delivering integrated, affordable, and high-quality health services to beneficiaries of the Department of Defense's Military Health System.

The candidate is responsible for the day-to-day operation of the DHA mailroom including mail monitoring and delivery of mail. Duties include receiving, sorting and delivering official mail to DHA offices throughout several locations in the National Capital Region. Responsibilities include processing all classes of mail including express mail and private carrier. Duties also include maintaining, updating and customizing tracking system and coordination of incoming and outgoing mail and packages.

This position is an on-site position and supports daily mail room operations between 7:30 am and 4:30 pm.

Responsibilities include but are not limited to:



  • Receive, sort, and meter outgoing U.S. mail.
  • Receive, sort, process, and route official incoming and outgoing mail; disseminate mail to designated points of contact and maintain files in accordance with records management requirements.
  • Provide outstanding customer service to all employees.
  • Receive, sort, process, and ensure pick-up of express delivery mail (e.g. FedEx, UPS, DHL, etc.)
  • Collect, sort, and deliver outgoing and interdepartmental mail.
  • Receive and process incoming and outgoing insured, certified, express and registered mail and parcels according to postal regulations.
  • Maintain and update tracking system for location, delivery and disposition of all incoming and outgoing mail
  • Locate proper addresses and make corrections for misdirected mail; forward mail according to United States Postal Service regulations.
  • Ensure office is adequately stocked with mail supplies.
  • Enforce procedures and regulations established by the U.S. Postal Service in accordance with the Department of Defense requirements
  • Deliver mail to various locations within the National Capital Region weekly
  • Locate and select the most appropriate guidelines for application to specific situations
  • Work closely with government uniformed personnel, civilians, and other agency personnel to fulfill daily operational duties
  • Create, maintain, and complete daily, weekly, monthly, and quarterly reporting requirements on incoming and outgoing mail
  • Perform other duties as required; such as delivery of supplies dependent on area or department of assignment.


Requirements:



  • High School Diploma or GED
  • 2+ years' of relevant experience
  • Thorough knowledge of US Postal Regulations and records management
  • Proficiency with Microsoft Office Suite (Excel, Outlook, PowerPoint, etc.)
  • Strong interpersonal and communication skills; ability to communicate effectively both in writing and verbally with headquarters personnel
  • Ability to be able to lift up to 50 Lbs without assistance
