JOB TITLE: Project Portfolio and Strategic Operations Manager JOB PURPOSE: Lead the IT project portfolio and strategic operations, ensuring alignment with institutional goals. Oversee project intake, prioritization, and execution, optimize resource allocation, and drive performance reporting. Support IT leadership in advancing the strategic roadmap, measuring outcomes through KPIs, and enhancing stakeholder communication. Manage strategic marketing, communications, and events to strengthen engagement and continuous improvement. ESSENTIAL DUTIES AND RESPONSIBILITIES: Project Portfolio Management: Manage the IT Project Portfolio program, tracking all proposed, rejected, active, and completed projects. Develop and oversee a systematic intake, evaluation, and prioritization process to align projects with university goals and resources allocation. Supervise project phases in collaboration with IT Leadership and Project Managers, maintain timelines and resource roadmaps, provide consultations, and deliver performance reports as needed. Strategic Operations: Oversee the Division of Information Technology's Strategic Roadmap to align with UWIT Leadership initiatives. Collaborate with Performance Management to set and track KPIs, report outcomes, and analyze results. Communicate project status, dependencies, and issues to CIO and IT Leadership, offering solutions and supporting strategic development. Document plans, schedules, risks, and resources, and review completed projects to provide recommendations for future planning. Portfolio and Resource Analysis and Execution: Collaborate with IT Leadership to analyze resource needs, optimize sourcing and allocation, and maintain project schedules for accurate capacity forecasts. Develop strategies for fiscal and staffing resources using internal or external options as needed. Track project and portfolio progress, assess changes, and escalate critical issues. Update the CIO regularly, support clear communication, and review completed projects with managers to inform future efforts. Strategic Marketing and Communications: Manage UWIT's communications, including updates, blogs, social media, and reports. Ensure clear messaging with leadership and stakeholders, support IT team engagement, prepare materials for senior audiences, coordinate event participation, and handle submissions to national technology groups. SUPPLEMENTAL FUNCTIONS: Manage strategic IT projects using PMBOK, ensuring plans match institutional goals. Collaborate with UWIT leadership to implement Vice President's initiatives. Assist with conducting and analyzing annual Information Technology Computing Surveys for students, faculty, and staff, utilizing the results to guide service delivery and future planning. Organize IT events, conferences, seminars, and training sessions-handling agendas, marketing, logistics, and evaluations-to advance professional development and division strategy. COMPETENCIES:
