I. JOB OVERVIEW






Job Description Summary:
University Advancement (UA) is responsible for leading the university's alumni and fundraising efforts. UA seeks to promote a culture of philanthropy throughout the university community, including alumni, students, parents, faculty, staff, corporations and foundations, patients and other friends. Development staff connects the passions of our alumni and supporters with the aspirations of our students and faculty; to provide the resources that ensure GW continues to make history. Alumni Relations staff engages GW's more than 330,000 alumni located around the world and offers tools to connect and network, develops benefits and services, creates programs and events, provides opportunities to volunteer and give, and shares news and information.

The George Washington University, Division of University Advancement is seeking an Assistant Director, Gift Records that will aid us in fulfilling our mission. The incumbent in this position will assist the Director, Gift Records, in the administration of all gift processing functions of the Constituent Records Department of University Advancement, providing guidance to all support staff within the department.

Key Responsibilities:

Gift Processing and Data Integrity:

  • Serve as the primary processor for complex, principal, and special gifts, including gifts of stock, wire transfers, planned gifts, and gifts-in-kind.
  • Oversee and reconcile the daily import of gifts from third-party platforms (e.g., GiveCampus, lockbox services, Luminate) into the university's advancement database.
  • Review and verify all documentation related to daily gift deposits to ensure accuracy and compliance with internal financial controls.
  • Perform rigorous data quality control for all gift records, ensuring strict adherence to departmental and university-wide data policies, procedures, and protocols, including the Council for Advancement and Support of Education (CASE) Management Guidelines and Reporting Standards.
  • Collaborate with the Controller's Office and Treasurer's Office to ensure proper allocation and transfer of gift funds to appropriate university accounts.


Policy and Process Improvement:

  • Participate actively in the development, documentation, and implementation of policies, procedures, and protocols related to gift processing and data management.
  • Assist in the testing of software enhancements, upgrades, and new services related to the central advancement database and gift processing systems.
  • Identify opportunities for process efficiencies and improvements to enhance the accuracy and speed of gift processing operations.

Training and Collaboration:
  • Provide functional guidance, training, and support to other gift processing staff on gift processing procedures and best practices. Serve as a subject matter expert on gift processing, advising on complex gift scenarios and data entry best practices.
General Support:
  • Assist the Director, Gift Records with special projects and other duties as assigned. Maintain current knowledge of best practices in gift processing and philanthropy.
Perform other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 6 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study plus 4 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:
Preferred Qualifications:

  • Minimum of 3 to 5 years of experience in gift processing or a related data management role, preferably in a higher education or non-profit environment.
  • Strong understanding of gift types and gift acceptance policies.
  • Familiarity with the CASE Management Guidelines and Reporting Standards.
  • Demonstrated experience with a large-scale fundraising database (e.g., Blackbaud Raiser's Edge, Ellucian Advance, Salesforce).
  • High level of proficiency with Microsoft Office Suite, particularly Excel.
  • Excellent attention to detail and a commitment to data accuracy. Strong analytical and problem-solving skills.
  • Ability to work both independently and collaboratively within a team. Excellent communication and interpersonal skills.

Hiring Range $75,044.98 - $108,882.10
