Job Title:Payroll Coordinator Location:Lockport, LA Position Overview: A Payroll Coordinator manages the Company-wide payroll processes and compliance with federal/state governing regulations. Has the total responsibility for the accurate and timely execution of payroll. Analyzes and reconciles weekly time data to ensure accurate execution of Company-wide payroll. Coordinates and schedules weekly time and data entry runs with all facilities to maintain and/or improve efficiency. Responsible for implementing Company payroll policies and procedures for all facilities. Key Responsibilities:
- Manages the Company's payroll processes.
- Responsible for accurate and timely payroll for entire organization.
- Analyzes all payroll data such as hours worked, taxes, insurance, and other withholdings for each employee.
- Implements the Company's payroll policies and procedures for all facilities.
- Ensures compliance with all federal and state tax requirements by completing federal 941 tax form, state withholding, and state unemployment forms as well.
- Complete federal year-end tax reporting with the filing of W-3 and W-2's to all employees.
- Complete all state year-end tax forms with annual state withholding filings.
- Experience with setting up company with different state department of revenues once new employees are hired in new state.
- Maintain records and report to different federal and state agencies with payroll garnishments withheld from employee's paychecks.
- Assists personnel in the payroll/accounting departments at other entities, especially as it applies to the consistent application of payroll policies and procedures.
- Enters and monitors deductions for employees such as garnishments, employee purchases, levies, income assignments, savings bonds, etc.
- Reviews wages computed and corrects errors to ensure accuracy of payroll.
- Reconciles reports such as US Gross Net Summary Report, Federal/State Tax Remittance Reports, GRE Reports, Unacceptable Tax Balance Reports, 401k Reports, etc.
- Oversees all testing for payroll applications.
- Calculates and analyzes totals in regards to earnings, STD/LTD, Workers' Comp., etc and forwards to the appropriate agency.
- Calculates and remits tax deposits and resolve discrepancies with IRS.
- Processes supplemental payrolls such as safety bonus, service awards, and other garnishments.
- Maintains a high degree of ethics, integrity, diplomacy, and confidentiality in dealing with employees and external customers.
- Must follow all Company policies and procedures, including those relative to employee safety, environmental policy, and the principles of our quality system.
- Validates general ledger coding on all invoices entered.
- Uploads positive pay file to bank of all payments made in order to mitigate fraud opportunities.
- Distributes payment register to management for review.
Qualifications:
- Four (4) years of experience in accounting or payroll processes preferred.
- Experience filling out and processing both federal and state payroll tax forms, i.e. Form 941, state withholding, and state unemployment.
- Experience completing all year-end federal and state annual payroll reporting forms, i.e., Form W-3, W-2, and state year-end summary forms.
Skills and Abilities:
- Extensive knowledge of federal and state payroll process and regulations required.
- Experience with filing federal and state payroll taxes preferred year reporting requirements
- Experience with processing payroll deductions, including garnishments
- Knowledge of advanced Microsoft Excel skills required.
- Good communication skills, including written and oral communication.
- Ability to exercise sound judgment and logic in implementation of payroll issues and policies.
- Experience with 3rd party payroll partners such as ADP.
