| Sesame Workshop is looking to hire an Executive Assistant for our Marketing & Communications team. This active role directly supports the Senior Vice President of Marketing and the Senior Vice President of Communications & Public Affairs, along with supporting department-wide special projects and administrative needs, including managing schedules, travel, correspondence, contracts, and more. The Executive Assistant will also support various meetings and internal and external events and communications needs. This individual plays a significant role in representing leadership and the team internally and externally and must be skilled in managing multiple tasks and conflicting priorities with accuracy, attention to detail, and discretion when dealing with confidential information. This position will dual report to the SVP, Communications & Public Affairs and SVP, Marketing. Primary Responsibilities:  
   Manage two busy schedules, scheduling meetings that often require complex coordination with multiple internal and external parties, with the ability to proactively resolve and avoid conflictsDirect and handle urgent and/or sensitive correspondence with discretionOrganize internal meetings/events, including department retreats, lunch & learn sessions, and other internal communications needsManage general follow-up and generate reminders to effectively meet deadlines and commitmentsProject manage special department initiatives and a range of special projectsArrange occasional domestic and international business travelPrepare expense reimbursement and other required reportsPrepare occasional briefing documents, presentations, and reports for meetings or eventsContract external vendorsCoordinate with executives, support staff, and IT and facilities on scheduling and administrative needsProcure premiums and assist with mailingsPerform other administrative tasks, as assignedAssist with planning and supporting internal and external events at peak times and provide onsite support for special events, as assignedMinimum Qualifications Required:  
   5+ years of work experience supporting executive-level positions, with experience supporting C-level executives strongly preferredAbility to maintain confidentiality and handle sensitive correspondenceHigh level proficiency in Word, PowerPoint, Outlook, and Excel and ability to learn new technology tools for project and expense managementExcellent written and verbal communication skills, with strong editing, proof-reading, and copyediting abilityStrong multi-tasker with excellent organizational skills and keen attention to detailAbility to work under pressure in a fast-paced environment and effectively take directionCollaborative team player, willing to pitch in wherever neededSelf-starter capable of owning and proactively managing multiple projects at a timePassion for philanthropic work and making a difference for children in need around the worldEqual Opportunity Employer/Minorities/Females/Veterans/Individuals with Disabilities/Sexual Orientation/Gender Identity |
