What this job involves: We are seeking a Program Administrator to serve as the central point of escalation and vendor management for laboratory and building services operations. This role combines strategic program oversight with hands-on CMMS management and client service delivery, ensuring optimal performance of laboratory equipment, building systems, and vendor partnerships.

What your day-to-day will look like:

  • Serve as primary escalation contact for all program-related issues and strategic decisions
  • Participate in regular lab walkthroughs to validate status of lab instrumentation and ensure ongoing CMMS date integrity through lab asset counts
  • Support the Facilities Team in coordinating maintenance activities and scheduling
  • Coordinate with vendors and service providers, including escorting when necessary
  • Maintain CMMS data integrity and oversee comprehensive asset management system and asset taxonomy
  • Maintain comprehensive inventory of assets
  • Perform routine laboratory maintenance tasks including equipment cleaning and calibrations where possible
  • Maintain accurate documentation and reporting for all maintenance/calibration activities
  • Support vendors with systems maintenance and general repairs
  • Coordinate and schedule maintenance activities with minimal client disruption
  • Provide direction to vendors, facilities staff, and service providers
  • Escort vendors as required
  • Order supplies and materials for maintenance teams and laboratory operations
  • 24/7 on call coverage as per rotation schedule
  • Complete assigned training to remain compliant with safety regulations and client expectations
  • Other duties as assigned

Required Qualifications

  • Associate's degree or equivalent experiencein Engineering, Facilities Management, Laboratory Sciences, or related field
  • 2-4 years of experiencein one or more of the following areas:
    • Laboratory environment operations
    • Metrology or calibration services
    • Facilities management or building operations
    • Vendor management or administrative support
  • Basic understanding of CMMS systems or willingness to learn
  • Strong organizational and communication skills
  • Exceptional customer service
  • Proficiency in Microsoft Office Suite
  • Customer Service Orientation
  • Ability to learn new systems and processes quickly
  • Attention to detail and data accuracy
  • Problem-solving and analytical thinking
  • Vendor relationship management
  • Basic project coordination
  • Compliance awareness

Preferred Qualifications:

  • Advanced proficiency in CMMS administration, including system configuration and reporting
  • Experience managing multi-vendor contracts and service level agreements
  • Experience with laboratory instrumentation maintenance, calibration protocols, and compliance requirements
  • Familiarity with building automation systems, HVAC controls, and critical facility infrastructure
  • Experience managing 24/7 operations or on-call service environments
  • Demonstrated ability to lead cross-functional teams and influence without direct authority

Estimated compensation for this position:

70,000.00 - 80,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
