Job Overview:
The Administrative Assistant provides high-level administrative, operational, and project support to assigned clinical faculty and senior staff. This role serves as a primary liaison between faculty and multiple administrative units, ensuring seamless coordination across Purchasing, Human Resources, IST, Payroll, Finance, Clinic Practice, Workforce Planning, Faculty Affairs, and RWJBarnabas Health. The Administrative Assistant manages complex tasks requiring sound judgment, confidentiality, and technical expertise, while supporting academic, clinical, and operational initiatives.
Qualifications:
Required:
- High School Diploma or equivalent
- Minimum of 3 years of administrative support experience in a healthcare or academic medical environment
Preferred:
- Associate Degree or Bachelor's Degree
Scheduling Requirements:
- Working Shift: Monday - Friday
- Day Shift
- Full-Time, 40 Hours Per Week
Essential Functions:
- Serves as liaison between faculty and administrative units including Purchasing, HR, IST, Payroll, Finance, Clinic Practice, Workforce Planning, Faculty Affairs, and RWJBH partners
- Initiates correspondence on behalf of assigned faculty related to administrative, operational, and academic matters
- Completes purchase orders, check requests, travel reimbursements, and subscription processing
- Ensures expenditures align with allocated funds and tracks all payouts to completion
- Confirms and manages faculty appointment schedules, proactively resolves conflicts, and manages daily calendars using independent judgment
- Maintains faculty Curriculum Vitae and NIH-compliant Biosketches accurately and consistently
- Analyzes and organizes administrative procedures; recommends workflow improvements
- Organizes projects and manages multiple tasks simultaneously
- Assists in planning and executing projects for assigned clinical faculty and senior leadership
- Triages and responds to phone inquiries to the physician office line; provides backup coverage for the Automated Call Distribution (ACD) line as needed
- Coordinates all administrative elements of interdisciplinary tumor board conferences, including patient lists, meeting logistics (virtual or in-person), flyers, documentation, CME, and all related tasks
- Supports onboarding and offboarding processes by completing assigned checklist items under guidance of the Program Manager
- Maintains ongoing credentialing requirements for assigned clinical faculty
- Manages fax and scan queues for assigned faculty, ensuring timely routing and follow-up
