YOUR NEXT OPPORTUNITY:

We are looking for a reliable and detail-oriented Fleet Coordinator to provide administrative support for our fleet operations/compliance team. This role involves maintaining vehicle records, handling documentation, coordinating with vendors, and assisting in the smooth operation of the fleet department. The ideal candidate is organized, tech-savvy, and able to multitask in a fast-paced environment.

WHAT YOU'LL DO:

  • Maintain accurate records of fleet operations, including mileage, fuel usage, and service history.

  • Monitor and manage vehicle tracking systems (GPS, telematics, etc.).

  • Support driver needs and resolve operational issues in a timely manner.

  • Ensure compliance with company policies, DOT regulations, and safety standards.

  • Assist with vehicle procurement, registration, insurance, and licensing.

  • Maintain inventory of fleet equipment and supplies.

  • Liaise with third-party service providers, mechanics, and vendors.

  • Prepare and process purchase orders, invoices, and expense reports related to fleet operations.

  • Support the Fleet Manager's in data entry, report generation, and special projects.

  • Respond to driver inquiries and assist with administrative tasks such as key logs and vehicle assignments.

  • Generate reports on fleet metrics for management review and decision-making.

  • Maintain and update Driver Qualification Files (DQFs) in accordance with DOT and company standards.

  • Monitor and track driver compliance items, including licenses, medical certifications, MVRs, and safety training.

  • Schedule and document drug and alcohol testing as required by regulatory agencies.

  • Assist with internal and external audits, ensuring all required documentation is complete and accessible.

  • Track Hours of Service (HOS) logs and assist with ELD compliance monitoring.

  • Communicate with drivers to ensure timely submission of required documentation and compliance-related items.

  • Coordinate driver safety meetings and compliance training sessions.

  • Maintain records of incident reports, violations, and disciplinary actions.

  • Performs other related Fleet Coordinator job duties as required.

WHAT YOU'LL NEED TO BE SUCCESSFUL:

  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.);

  • Proficient in using electronic devices (i.e., phone, tablet, computer) for safety audit software and emails.

  • Strong organizational, record-keeping, and follow-up skills

  • Ability to prioritize and manage multiple tasks, changing priorities as necessary

  • Ability to work under time pressure and adapt to changing requirements with a positive attitude

  • Effective oral and written communication skills as required for the position

  • Ability to be self-motivated, proactive, and an effective team player

  • Ability to interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others

  • Knowledge of vehicle maintenance and DOT regulations is a plus.

  • Ability to handle sensitive information with discretion.

WHAT YOU BRING TO US:

  • High school diploma or equivalent

  • Experience in fleet management, logistics, or customer service roles

  • Knowledge of vehicle maintenance procedures and regulatory standards.

  • Demonstrated ability to build solutions and drive continuous improvement.

PHYSICAL DEMANDS

Employee will be required to communicate in person, via telephone, email, video chat and software systems. Position may require travel to construction sites and industrial facilities requiring mobility (on ground and at heights) and the use of personal protective equipment (PPE) including but not limited to: hard hat, safety glasses/goggles, ear plugs/muffs, masks/respirators, safety vests, gloves and work boots

WORKING CONDITIONS:
  • General work environment - sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning

  • Noise level is usually low to medium; it can be loud on the jobsite.

  • Occasional lifting of up to 30 lbs.

Pay Range

$27.30-$36.00 Hourly

The pay range for this role is what we expect to pay for candidates that meet the specified qualifications and requirements listed on this job description. Candidate's pay can vary based on location, job-related experience, skills, and education.
