POSITION SUMMARY:

The Manager, Development Services oversees the business lines that directly shape donor interactions with Boston Medical Center Health System's (BMCHS) gift processing, receipting, and acknowledgment systems. This role ensures that every donor transaction - from data entry to acknowledgement - reflects accuracy, transparency, and donor intent.. The Manager manages staff responsible for gift processing, gift entry, and updates, ensuring efficient workflows, high-quality standards, and compliance with IRS, CASE, AHP and BMCHS policies The Manager also partners with Finance, Stewardship, and Communications colleagues to guarantee that processes reinforce donor trust and support long-term stewardship.

ESSENTIAL RESPONSIBILITIES / DUTIES:


  • Directly supervise, and provide support to, the Data Management team (Development Associate, Operations, Gift Processing and Gift and Data Entry) ensuring accurate and timely handling of all donor transactions.

  • Design and enforce donor-facing operations standards (acknowledgments, receipting, pledge reminders, and matching gift processing) that prioritize stewardship and donor experience.

  • Partner with Finance and Stewardship teams to ensure donor acknowledgments and fund reconciliation are accurate and auditable.

  • Ensure compliance with IRS regulations, CASE Global Reporting Standards, and BMC policies across all donor operations activities.

  • Contribute to continuous process improvement by working with the Director of Development Services to refine workflows, intake processes, and policies.

  • Develop, maintain, and regularly update documentation of operational policies and procedures, ensuring they remain current as systems and workflows evolve.

  • Provide ongoing training and refresher sessions for staff on gift processing, data entry standards, and stewardship protocols to reinforce consistency and compliance.

  • Develop and maintain documentation and training resources to ensure staff consistently apply policies and best practices.

  • Serve as the primary escalation point for donor transaction issues, ensuring timely resolution and communication back to donors and internal partners.

  • Support Development events and campaigns by coordinating gift tracking, receipting, and acknowledgment processes.

JOB REQUIREMENTS

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor's degree and at least 5 years of progressive experience in development operations or donor services, of which at least two years must be in a supervisory capacity; or equivalent combination of education and experience.

PREFERRED EDUCATION AND EXPERIENCE:

  • Healthcare and nonprofit/fundraising operational experience

KNOWLEDGE, SKILLS & ABILITIES (KSAs):


  • Deep knowledge of gift processing and donor transaction workflows.

  • Strong supervisory and coaching skills, with ability to build staff capacity.

  • Exceptional customer service orientation with sensitivity to donor needs.

  • Strong collaboration skills, especially with Finance and Communications.

  • Attention to detail and ability to ensure compliance in high-volume environments.

  • Skilled in CRM systems (RENXT preferred),Microsoft 365 (especially Excel), and Asana (or equivalent).

  • Familiarity with how GAAP intersects with fundraising data and donor transactions.

  • Ability to design and deliver effective training sessions for staff at different levels of experience.

  • Strong technical writing skills to create and maintain clear, user-friendly documentation and standard operating procedures.


Compensation Range:

$72,500.00- $105,000.00

This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
