Reunions Coordinator

The USC Alumni Association supports the overall advancement of USC by engaging all alumni for life, building a culture of philanthropy among the Trojan Family, and being the representative voice for the more than 500,000 USC alumni worldwide.

The USCAA seeks a Reunions Coordinator who is a detail-oriented, collaborative professional with strong organizational and communication skills to support the planning and execution of USC Reunions and related programs. Reporting to the Director of Reunions and Engagement, this role plays a key part in delivering exceptional experiences for alumni celebrating milestone reunions and fostering volunteer engagement.

This multifaceted position blends event coordination, volunteer management, and cross-functional collaboration. The ideal candidate thrives in a fast-paced environment, demonstrates excellent interpersonal skills, and is committed to advancing alumni engagement and philanthropy.

This is a hybrid-fixed position under our current work arrangement plan, with the expectation of an on-site presence for 3 days per week on the University Park Campus.

Responsibilities

  • Assist in producing all USC Reunion programs and activities, ensuring seamless coordination with internal and external stakeholders.

  • Support recruitment and management of volunteer reunion committees, including scheduling meetings, preparing materials, and tracking progress toward attendance and fundraising goals.

  • Serve as a liaison between alumni volunteers and university departments to ensure alignment with strategic objectives.

  • Coordinate logistics for reunion events, including venue arrangements, catering, audio/visual needs, and vendor management.

  • Advance innovative affinity reunion initiatives by coordinating event details, collaborating with alumni and campus partners, and adapting workflows as the program evolves.

  • Maintain accurate records of committee activities, event details, and alumni engagement metrics

  • Contribute to marketing and communication efforts by assisting with promotional materials, invitations, and digital outreach.

  • Support Spring Week programming through event preparation, registration assistance, vendor coordination, and day-of logistics to ensure a positive guest experience.

  • Provide exceptional customer service to alumni and volunteers, responding promptly to inquiries and requests.

  • Perform other related duties as assigned. The university reserves the right to add or change duties at any time.

Minimum Qualifications

  • High school degree.

  • Minimum of 2 years of experience with special events planning, fundraising management, or alumni and volunteer relations management.

  • Experience with contracts and other legal documentation.

  • Ability to support event planning (e.g., developing concepts, creating and estimating budgets, producing promotional materials).

  • Experience with audio/visual equipment.

  • Excellent organizational skills and ability to maintain multiple schedules.

  • Excellent interpersonal and written and oral communications skills.

Preferred Qualifications

  • Bachelor's degree.

  • Experience in higher education.

  • Experience planning and coordinating corporate events.

  • Proven leadership and project management abilities.

  • Fluent in one or more languages other than English (e.g., Spanish, Korean).

Compensation and Benefits

The budgeted hourly rate for this position is $31.00 - 33.00 per hour. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer alignment, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
