Job Description Responsibilities:
- Act as a primary point of contact on behalf of the executives, independently prioritizing and responding to internal and external inquiries
- Serves as an extension of executive leadership by facilitating workflow, information flow and decision readiness
- Exercise discretion and judgement in determining which matters require executive attention versus those that can be resolved independently
- Represent the executives with professionalism in meetings, communications and interactions
- Own executive calendar strategy, independently evaluating, prioritizing and negotiating meeting requests to align with business priorities
- Make judgement-based decisions regarding scheduling conflicts, deadline impacts, and shifting priorities without requiring direct instruction
- Anticipate future scheduling needs based on business, travel and organizational needs or changes
- Independently plan and manage complex domestic and international travel, making cost and timing decisions
- Own expense management for executives and their direct reports which includes reconciliation and submission, ensuring compliance with company policies while exercising judgement in resolving discrepancies before expenses are sent in or approved
- Planning, coordination and contract negotiation for all offsite meetings
- Review invoices, contracts and expense related documentation for accuracy and appropriateness prior to approval or escalation
- Creating new requisitions in Oracle accounting system to generate purchase orders for processing all invoices
- Capture and prepare meeting minutes, distribute, and follow up on outstanding action items ensuring timely follow up and execution
- Develop, document and improve administrative processes to increase executive and organizational effectiveness
- Manage executive-related projects, timelines and deliverables following up with stakeholders and driving completion
- Identify operational risk or inefficiencies and recommend solutions proactively
- Handle highly confidential and sensitive information, including personnel, legal, financial and strategic business matters, using discretion and sound judgement
- Determine appropriate levels of information sharing based on context, audience and risk
- Build and maintain strong relationships with senior leaders, board members, clients and external partners
- Comfortable with producing clear written correspondences
- Stay informed of organizational priorities to anticipate needs and adjust support accordingly
- May provide support to other administrative team members
Qualifications:
- College degree from an accredited college or university, preferred
- Minimum five years of relevant administrative experience with at least 3 years supporting an Executive or Senior level team
- Must have good business acumen with the ability to understand organization priorities and their impact
- Exceptional organizational, communications and problem-solving skills
- Proven experience handling confidential information with integrity and professionalism
- Adaptability and flexibility in a constantly evolving environment
- Available and responsive after "regular business hours," as needed
